We are seeking a highly organized, creative, and proactive Virtual Assistant (VA)to provide a blend of administrative, compliance, and database coordination for a leading Real Estate Agency in Australia .
Key Responsibilities
Database & CRM Support
- Managing contact and property records, including identifying and merging duplicates
- Adding and updating contacts and properties within internal platforms
- Handling unsubscribe/resubscribe requests
- Conducting data imports and exports
- Completing Pricefinder imports and managing research-related data
- Maintaining holding areas and ensuring data cleanliness
- Adding alerts and maintaining communication preferences
Marketing & Communications
- Preparing suburb reports, case studies, and market share summaries
- Assisting with SMS communications (Loan Market SMS, Just Sold SMS)
- Coordinating digital correspondence and notifications
- Supporting email and campaign tools for targeted communications
Property Management & Compliance
- Uploading Strata Notices and key documentation into PropertyTree
- Recording Water Efficiency and Smoke Alarm updates
- Assisting with lease renewal documentation
- Managing reservation tracking through paperless systems
- General support with agreement processing and redirections
What We’re Looking For
- Mandatory experience with VaultRE, Outfit, PropertyTree, and Designly
- Has proven experience as a Virtual Assistant for an Australian client.
- Possesses a strong background in real estate, specifically in Australia
- Strong attention to detail and excellent organisational skills
- Confident navigating multiple software platforms
- Ability to prioritise tasks in a fast-paced environment
- Has clear and confident English communication skills
- A proactive approach to problem-solving and process improvement
This Role is Not for Individuals Who:
- Have no proven experience as a Virtual Assistant for an Australian client
- Don’t have any experience or familiarity with VaultRE, Outfit, PropertyTree, and Designly
- Cannot manage competing deadlines or high-volume administrative tasks.
- Do not have prior experience with clients who handle Real Estate and Property Management in Australia and New Zealand
