About the company

You will support an Australian allied health NDIS practice with two providers and a separate online parent learning platform. You will assist clients across the lifespan, including self-managed and plan-managed NDIS participants. Your communication will need to recognise that many clients are highly intelligent and neurodivergent while experiencing complex challenges with day-to-day functioning.

About the role

You will work from the Philippines as a Virtual Assistant for NDIS Practice and Social Media. Your main focus will be experienced administrative support, with additional work creating social content and editing existing videos. You will help cover practice administration as an existing team member moves their attention to other work within the online learning platform.

You will help address delays in clinic-day invoicing and support a more consistent online presence for the parent learning platform. Your advertised salary range is PHP 25,000 to PHP 35,000. Your administrative experience is the priority, with marketing and video editing skills adding value to your application.

Your day

You will divide your work between client emails, appointment changes, clinic-day invoicing and report preparation. You will communicate primarily by email rather than through a phone-heavy service. Alongside practice administration, you will help turn existing educational material into social posts and short video clips that introduce parents to the learning platform.

What you will be doing

• Client correspondence. You will respond to email queries from NDIS clients and communicate with sensitivity to their individual needs.
• Appointment administration. You will cancel and reschedule appointments using your knowledge of Sploes and NDIS administration.
• Invoicing. You will process invoices in Xero on clinic days, applying your knowledge of relevant NDIS codes to support timely billing.
• Report preparation. You will transcribe dictated material and format psychometric reports and NDIS functional capacity assessments on letterhead.
• Social content. You will create digital media using Canva and schedule social media posts to support the online parent learning platform, including its Facebook presence.
• Video editing. You will turn existing video content into 15 to 30 second clips for social media, drawing on a substantial library of recorded material.
• Ethical marketing. You will support subscriber growth through content that is not overly sales-focused, in keeping with the stated preference for ethical marketing.

What you need

• You have NDIS administration experience and strong working knowledge of the Sploes system.
• You know the NDIS codes relevant to appointment administration and invoicing.
• You have Xero experience and can support clinic-day invoicing.
• You communicate clearly by email and can handle client queries and appointment changes in writing.
• You can work respectfully with highly intelligent, neurodivergent clients who have complex needs, recognising both their abilities and their day-to-day challenges.

Nice to have

• You bring social media marketing experience that can help connect an existing audience with an online parent learning platform.
• You have design skills in Canva or similar tools. Similar tools are fine, and you will not be screened out for the brand name.
• You can edit longer recordings into short, useful social media clips.
• You have experience with online community platforms such as Mighty Networks or similar tools. Similar tools are fine, and you will not be screened out for the brand name.
• You have experience writing or formatting professional reports, particularly when working from dictation.

Hours

• You will work across three days per week, with 4 to 5 hours per week for administration plus 6 to 10 hours per week for marketing and video editing.
