Job Description: Business Assistant (Client Liaison)
Primary Function
The Business Assistant (Client Liaison) acts as the vital link between technical site data and residential clients. The primary mission is to support the Residential Manager (Jack) by translating complex project schedules into clear, professional, and proactive client updates. This role serves as the "eyes and ears" on project data, ensuring clients are consistently informed about the status of their build.
Core Responsibilities
- Reporting & Data Management: Generate, format, and distribute weekly project update reports directly from Procore.
- Schedule Interpretation: Review and analyze Gantt charts and project timelines to track progress against milestones.
- Delay Identification: Proactively identify potential project slippage or delays by monitoring task dependencies and completion dates.
- Internal Communication: Alert the Residential Manager immediately of significant delays or schedule changes before they become client-facing issues.
- Client Correspondence: Draft professional, empathetic, and clear email communications for clients regarding project milestones, upcoming site activities, or schedule adjustments.
- Administrative Support: Maintain organized client folders and communication logs within Procore and the company CRM to ensure a single source of truth for every project.
Requirements
Required Skills & Experience
- Experience: 3–5 years in project coordination or high-level administration within construction or engineering.
- Technical Literacy: Ability to read and interpret Gantt charts, understand critical path logic, and apply basic engineering/construction terminology.
- Software Proficiency: Hands-on experience with Procore (highly preferred). Proficiency in project scheduling tools (MS Project, Smartsheet, or similar). Advanced skills in Microsoft Outlook and professional email drafting.
- Communication Style: Exceptional written English skills with the ability to translate technical “construction-speak” into clear, reassuring information for residential homeowners.
- Proactive Mindset: Ability to interpret data beyond numbers, focusing on what it means for the client experience.
Success Indicators
- Consistency: 100% of weekly client reports sent accurately and on time without manager intervention.
- Proactivity: Residential Manager notified of project delays at least 48 hours before client updates are due.
- Efficiency: Reduction in direct “status update” inquiries reaching the Residential Manager’s inbox.
- Accuracy: Zero errors in translating Gantt chart dates to client-facing communications.
