About the Role

We are seeking a proactive, personable, and sales-oriented Receptionist & Lead Follow-Up Specialist to join a growing U.S.-based rental and automotive services business.

The company provides car rentals, water sports rentals, yacht charters, and vehicle insurance claims management services.

This role combines inbound customer service, outbound lead follow-up, sales support, and administrative coordination. You will serve as a primary point of contact for prospective customers, respond to inquiries, follow up with leads generated through digital marketing campaigns, and help convert customer interest into rental opportunities.

The ideal candidate is an excellent communicator who is confident on the phone, naturally engaging, highly organized, and comfortable managing multiple customer conversations while working independently.

Key Responsibilities

Customer Service & Reception

• Answer incoming calls through the company's business phone system, providing a professional, friendly, and engaging customer experience.
• Respond to customer inquiries about rental services, availability, pricing, and booking procedures using company-provided information.
• Gather accurate customer details and identify their specific rental requirements.
• Ensure incoming inquiries receive timely attention and appropriate follow-up.

Lead Follow-Up & Sales Support

• Proactively contact prospective customers generated through social media advertising and other digital marketing channels.
• Qualify leads by identifying customer needs, rental dates, budgets, vehicle preferences, and service interests.
• Build rapport with potential customers, address initial questions, and guide them toward the next steps in the rental process.
• Maintain consistent follow-up with interested prospects to maximize booking opportunities.
• Escalate qualified leads and sales opportunities to the business owner for further assistance or closing.

CRM & Administrative Support

• Maintain accurate customer information, lead statuses, follow-up activities, and transaction records within the company's CRM.
• Organize customer communications and track pending inquiries to ensure no opportunities are overlooked.
• Assist with administrative documentation and coordination related to vehicle insurance claims, with training provided.
• Support the business owner with daily administrative activities and customer coordination.

Requirements

• Proven experience in phone-based sales, lead follow-up, customer service with sales responsibilities, or a similar client-facing role.
• Excellent spoken and written English communication skills.
• Strong interpersonal skills, active listening abilities, and a confident, engaging phone presence.
• A sales-oriented mindset with the ability to build rapport, identify customer needs, and encourage prospective customers to take the next step.
• Experience using CRM systems to manage customer records, lead pipelines, and follow-up activities.
• Familiarity with business phone systems, VoIP applications, or similar communication platforms.
• Strong organizational skills, attention to detail, and the ability to manage multiple inquiries and follow-up tasks.
• Ability to work independently, take initiative, and maintain professionalism in a remote environment.

Nice to Have

• Previous experience in car rentals, automotive services, vehicle leasing, travel, or hospitality.
• Experience following up with leads generated through Facebook, Instagram, TikTok, or other digital advertising platforms.
• Experience supporting booking or reservation processes.
• Familiarity with vehicle insurance claims, insurance company communications, or related documentation.
