JOB SUMMARY:
The Accounts Payable Staff is responsible for processing, recording, and monitoring the company’s accounts payable transactions. The position ensures that vendor invoices, freight-related expenses, service provider billings, and other company payables are properly verified, recorded, and paid on time. The role requires close coordination with Operations, Procurement, Finance, and external suppliers.DUTIES & RESPONSIBILTIES:
Invoice Processing- Receive, review, and process supplier and service provider invoices.
- Verify invoices against Purchase Orders, contracts, delivery receipts, job orders, and other supporting documents.
- Ensure invoices are properly approved before payment processing.
- Encode and maintain accurate accounts payable records.
- Process invoices from trucking companies, shipping lines, airlines, customs brokers, container yards, warehouses, and other logistics service providers.
- Verify freight charges, handling fees, storage charges, demurrage, detention, trucking fees, and other operational expenses.
- Coordinate with the Operations Department regarding discrepancies in supplier billings.
- Prepare payment vouchers and supporting documents.
- Prepare payment requests and check/online bank payment documentation.
- Monitor due dates to ensure timely payment of suppliers and service providers.
- Maintain a schedule of upcoming and outstanding payments.
- Reconcile supplier statements with company records.
- Monitor outstanding and overdue accounts payable.
- Investigate and resolve discrepancies in invoices and supplier statements.
- Assist in month-end accounts payable reconciliation and closing activities.
- Maintain organized and complete AP records and supporting documents.
- Ensure proper filing of invoices, receipts, payment vouchers, and other accounting documents.
- Maintain confidentiality of financial and supplier information.
- Coordinate with Operations, Procurement, Warehouse, and other departments regarding invoices and payment concerns.
- Communicate with suppliers regarding billing discrepancies, payment status, and required documents.
- Assist auditors by providing requested AP documents and schedules.
- Bachelor’s degree in Accounting, Finance, Management Accounting, or a related field.
- At least 1–2 years of experience in Accounts Payable or general accounting; logistics/freight forwarding experience is an advantage.
- Fresh graduates are welcome to apply.
- Knowledge of basic accounting principles and accounts payable procedures.
- Familiarity with freight, trucking, warehouse, shipping, or logistics-related billing is an advantage.
- Proficient in Microsoft Excel and accounting software.
- With knowledge in Quickbooks is an advantage
- Good attention to detail and accuracy.
- Strong organizational and time-management skills.
- Good communication and coordination skills.
- Ability to handle multiple invoices and deadlines.
