About the Client

The company is a residential real estate investment firm specializing in acquiring, renovating, and reselling homes, with a primary focus on foreclosures and pre-foreclosures. Operations are concentrated in a multi-county region of Florida, with additional planned operations in Illinois. The firm also holds a portfolio of leased residential properties and manages an active deal pipeline sourced through a proprietary lead-tracking system.

The role exists because the founder currently manages the full deal pipeline personally, including lead qualification, vendor coordination, and outreach. The founder's time is increasingly consumed by administrative coordination, lead follow-up, and direct outreach to potential sellers, work that must shift to a dedicated assistant to allow focus on deal evaluation and closing.

About the Role

You will serve as the Executive Assistant to a residential real estate investor, managing the day-to-day administrative operations of the business. This includes coordinating with customers, vendors, and subcontractors, maintaining project files, managing email correspondence, and inputting and analyzing lead data within a custom spreadsheet-based tracking system to identify qualified opportunities.

You will also conduct outbound calls to potential property sellers identified through skip tracing, establishing initial contact and gauging interest ahead of handoff for deal negotiation. As the role matures, it may expand to include recommendations for improving the lead-tracking system and support for social media content creation.

Key Responsibilities

• Administrative Operations: Manage day-to-day interactions with customers and vendors, maintain project files, and handle email correspondence to keep operations running smoothly.

• Project Coordination: Coordinate with subcontractors and vendors on active property projects, tracking progress and communicating updates.

• Lead Database Management: Input and maintain data within a custom spreadsheet dashboard, using existing formulas and structures to identify and organize qualified leads.

• Outbound Calling & Appointment Setting: Contact about 20 qualified, distressed homeowners monthly to introduce potential alternatives prior to foreclosure sales, with the primary objective of securing scheduled appointments for the owner.

• Skip Tracing Follow-Up: Track down owner contact information for identified leads and ensure timely follow-up.

• Reporting: Provide clear, detailed daily updates on outreach activity, call outcomes, and lead status to support informed decision-making.

• Social Media Support: Assist with occasional social media content creation as needed.

✅ Qualifications & Skills

⭐ Core Requirements:

• Demonstrated comfort and effectiveness on the phone, including proactive, natural-sounding cold calling with potential sellers.

• Experience working with spreadsheet-based lead tracking or CRM systems, with the ability to analyze data and suggest improvements.

• Strong written and verbal English communication skills, with a clear and professional phone presence.

• Experience with AI tools such as Claude for tasks including data organization, content creation, and process documentation.

• Ability to work independently, follow structured reporting processes, and provide detailed, actionable updates without requiring close supervision.

• Strong organizational skills and attention to detail in managing files, vendor communication, and administrative workflows.

Preferred Experience:

• Prior experience in residential real estate, particularly with foreclosures, pre-foreclosures, or investment property transactions, is a strong plus.
