Are you an AI-native professional who thrives on turning big vision into flawless execution? We are an international consultancy expanding audience and revenue for leading radio and media organizations across Australia and the US.We are looking for an AI & Operations Manager to act as the primary operational partner to our founder. You will own end-to-end projects, streamline operations using cutting-edge AI automation, and serve as the glue holding our lean specialist team together. If you love building systems out of chaos, testing advanced LLMs, and driving projects to completion, this high-impact role is for you.
Key Responsibilities
- Project Execution & Finishing: Turn founder ideas into structured, finished outcomes. Keep remote teams and specialists accountable without needing micro-management.
- AI & Workflow Automation: Identify manual bottlenecks and solve them. Build reusable prompt systems, automate data extraction/cleaning, and streamline batch file processing.
- Team Enablement Hub: Serve as the first line of operational support, clearing roadblocks for team members before they escalate.
- Process Systematization: Take messy administrative tasks (file organization, tracking contracts, retrieving records) and turn them into clear, repeatable systems.
- Delegated Communications: Manage high-priority correspondence and follow-ups on the founder’s behalf using sound business judgment.
- Content Coordination: Oversee social distribution (mainly LinkedIn)—transforming founder insights, transcripts, and media into polished posts paired with visual assets.

- Advanced AI & Data Skills: Deep, hands-on experience using LLMs (ChatGPT, Claude) for complex data extraction, prompt engineering, and file parsing—not just simple text generation.
- Independent Problem Solver: Comfortable taking loose directives and building precise, organized plans.
- Quality & QA Mindset: Meticulous eye for detail to double-check AI outputs for complete accuracy.
- Flawless Communication: C1 Advanced English level (written and spoken) is strictly required, as you will be communicating in English throughout your entire shift.
- Dedicated Focus: 100% full-time commitment to this single business.
- Experience with automation platforms like Make.com or Zapier .
- Background supporting US/Australian digital media, broadcast, or marketing agencies.
- Experience working across cross-border time zones (AU / US / APAC).
