Operations Virtual Assistant

Job Summary: This opening is for a proactive and highly organized Operations & Admin Virtual Assistant who will help run and grow a fast-moving beauty and cosmetics e-commerce business on Amazon and Walmart. You’ll look after our existing automated systems, follow performance and competitors closely, liaise with suppliers, and bring to light the data and insights behind key business decisions. This role rewards people who are comfortable with AI tools, enjoy working independently, and spot problems early before they escalate.
Key Responsibilities:
Look after and maintain our existing semi-automated systems so day-to-day operations stay smooth
Detect, flag, and resolve data mismatches, bugs, and errors across platforms
Compile clear, accurate daily reports on store operations and performance
Liaise with suppliers and vendors and follow up to keep orders and timelines moving
Follow competitors, pricing trends, product listings, and relevant industry forums
Pull together and organize data and insights that support the owner’s decisions
Cover general administrative tasks and customer follow-up
Look after product certification paperwork, including organic, vegan, and EWG documentation
Keep records and listings accurate across the Amazon and Walmart marketplaces
Mandatory Skills:
Proven experience in e-commerce operations, ideally on Amazon and/or Walmart
Comfort and skill with AI tools that streamline research and daily work
A strong eye for discrepancies, bugs, and inconsistencies in data and systems
Experience liaising with suppliers and vendors
Excellent written and spoken English communication skills
Dependable, focused, and self-starting
Strong organizational skills and the ability to handle multiple tasks and ongoing reporting
Preferred Skills:
Experience in the beauty, cosmetics, or health and wellness space
Familiarity with automation tools (e.g., Zapier, Make, n8n) and troubleshooting workflows
Understanding of product certifications such as organic, vegan, or EWG
Experience with competitor and market research
Data reporting and analysis experience
Capable of handling a range of projects at once
