Primary Goal
Provide high-level administrative and logistical support while maintaining the client’s digital presence. This role ensures the executive stays organized, responsive, and focused on high-value work, while social media and communication channels remain active and professional for brand visibility (not lead generation).
Key Responsibilities
● Executive & Administrative Support: Manage day-to-day administrative tasks including document formatting, expense tracking, inbox support, and digital file organization. Provide overflow support to in-person staff and ensure smooth operations across the team.
● Calendar & Client Coordination: Own scheduling, rescheduling, and calendar management. Coordinate appointments, manage conflicts, and communicate updates with clients via email and text.
● Client Communication & Support: Handle inbox management and respond to client communications. Use tools like Review Wave to text clients, ensuring timely and professional interactions.
● Travel & Logistics: Book flights, hotels, and transportation while preparing detailed travel itineraries.
● Meeting Preparation & Follow-Ups: Prepare agendas, notes, and action items to keep meetings efficient and ensure follow-through.
● Client Documentation Management: Manage new client onboarding paperwork and maintain accurate, up-to-date client records and documentation.
● Social Media Management: Post content consistently across platforms to maintain brand visibility and credibility. Monitor and respond to DMs and basic engagement. Focus is on brand presence rather than lead generation.
Experience
2–3+ years supporting executives, founders, or senior leadership in an Executive Assistant or similar administrative operations role.
Core Tools & Platforms (Required to have intermediate to advanced skills with at least one tool from each tool type)

● Communication: Slack, Zoom, Google Meet, Loom
● Design: Canva or similar tools
● AI Productivity: ChatGPT, Gemini
