Purchasing Assistant

JOB DESCRIPTION:
- Consolidate/Summarize Monthly SSR (Summary of Supplies Request) from Clubs, Fs/QSR, DC & Central Department duly approved by DOD's (District Operations Director).
- Verifies Requested items on SSR by comparing to master list.
- Clarifies unclear items such as wrong SKU, specs and costing.
- Allocate overstock items by verifying stock availability at DC.
- Suggest interclub transfer of item for low stock locations.
- Creates P.O. (Purchase Order) of Monthly SSR for expense items.
- Forwarding purchase orders to vendors & verifies receipt of P.O.
- Check MMS quantities versus declared actual stock on hand; for items with discrepancies, seek assistance from ICG or Loss Prevention Department for proper adjustment.
- Monitors and make follow up to vendors with regards to the delivery of Purchase Order (P.O.) to DC & Direct to store deliveries.
- Send allocation sheet for Monthly Expense Item to DC concerned personnel.
- Make follow up to Dc for the unserved transfer allocations.
- Monitors transfer out of items from Dc to store.
- Coordinate to Clubs, Fs/QSR, Dc, Central regarding transferred items.
- Assist vendor's concern with regards to unpaid SOA (Statement of Account) most especially to fast moving items & LPG/Diesel.
- Prepare and maintain monthly reports regarding summary purchases.
- Prepare reports for Vendor and DC service level.
QUALIFICATIONS:
Educational Background : College Graduate
Work experience : Previous experience in a purchasing or administrative role preferred.
Skills : Good communication and negotiation skills.
