Warehouse Supervisor

Job Summary

The primary responsibility of this position is to ensure proper implementation and monitoring of warehouse and logistics operations which include, good warehouse practices; proper inventory management; proper route planning; correctness and timeliness of all out-bound and in-bound deliveries; and proper monitoring of all proofs of delivery (POD).

The secondary responsibility is people management of all people reporting to him/her to ensure that all processes and procedures are in place.

The Warehouse Manager may be given other tasks by his/her immediate superior as may be required during the course of fulfilling job-related activities.

Duties and Responsibilities

1. Management of Inventory

• Ensure the accuracy of actual inventory count versus the inventory in the ERP system.

• Ensure the DOI (Days of Inventory) is within the agreed days level.

• Ensure the CSL (Customer Service Level) is within the agreed service level.

• Ensure the availability of the stocks at all time.

• Ensure the correctness of SKU and in good condition of all in-bound deliveries.

• Ensure that the SKUs for out-bound deliveries are in accordance to the First-In First-Out (FIFO) or First-to-expire First-Out (FEFO) policy.

• Ensure that all SKUs are stacked in the assigned locations.

• Conduct month-end inventory count.

• Ensure that all pulled-out from trade customers have return documents and are properly recorded and counted upon pull-out from the customer and upon receipt at the warehouse:

• Good Stocks are prepared with the Returned Order Slip (ROS).
• Damaged stocks (BOs) are prepared with the Returned Damaged Slip (RDS) and stored in the BO location.
• Ensure quality inspection to identify the good stocks for selling while the bad stocks are for disposal.
• Ensure Credit Memo (CM) preparation by Finance.
• Proper disposition on the damaged stocks (BO) returned by customers within thirty (30) days from the date of receipt of the BOs.
• Implement systems or policy improvements to reduce cost and maximize investment.
• Proper coordination with demand planner for the stocks needed.

2. Management of the Loading and Dispatching of Delivery

• Ensure On-Time and In-Full (OTIF) deliveries are within the agreed level.

• Ensure that the cost to sales (CTS %) is within the allowed percentage.

• Ensure the availability of the trucks needed.

• Ensure the accuracy of the items loaded by SKU code, description and quantity versus the delivery documents (Sales Invoice/Delivery Receipts).

• Ensure that all deliveries conform to the delivery requirement/policy of the customers.

• Ensure the correctness of the Delivery Trip Ticket (DTT) per truck for dispatch.

• Implement system or policy improvements to maximize investment and reduce CTS.

• Ensure proper coordination with Sales agents on problems on the delivery.

3. Managing the Warehouse

• Ensure that the recommended stacking layer and height of the SKU per pallet is followed to avoid damaged stocks.

• Ensure the cleanliness of the warehouse including the floors, walls, ceilings, windows, glass, loading bays and parking area.

• Ensure the correctness of the inventory of the pallets and in good condition.

• Proper disposal of garbage.

• Continuous implementation and evaluation of the good warehouse practice (GWP).

4. Management of Third Party Logistics (TPL) Company/Provider

• Ensure proper coordination with TPL owners on the trucks needed.

• Monitor the call time (time-in) of the truckers for loading to avoid crowding in the parking and loading areas and ensure on-time delivery.

• Ensure the needed manpower per truck type are complied with to facilitate the loading and unloading of delivery.

• L300 / AUV / 4W – Driver and 1 helper
• 6W / 10W – Driver and 2 helpers
• Wheeler or pushcart required by customer
• Ensure proper delivery outfit: T-Shirts, Long Pants, with safety vest and safety shoes. Safety hat as required by customer.
• Monitor the dispatched deliveries for updates on the delivery.
• Proper and timely action on the problems encountered during delivery to avoid delivery rejections.
• Monitor and provide monthly performance of the truckers based on the KPIs.

5. Management of Material Handling Equipment (MHE) and In-house Trucks

• Proper use and monitoring of the daily maintenance check to prevent breakdown and downtime of all MHEs assigned: Reach Truck and jack pallets.

• Ensure the proper use and maintenance of all in-house trucks.

• Monitor the usage of RFID.

• Monitor the usage of gas Fleet Card.

• Monitor the daily expenses per truck.

• Monitor the daily kilometer (KM) run of each truck.

• Schedule of the Preventive Maintenance Service (PMS) check per truck.

6. People Management

• Daily monitoring of the performance of his/her subordinates.

• Conduct coaching to all his/her subordinates to ensure that directions/instructions are implemented properly.

7. Reports

• Daily Inventory Monitoring Report (DIMR).

• Weekly Summary of Pending deliveries

• Weekly POD monitoring Report

• Weekly CSL and OTIF

• Weekly CTS monitoring report

• Weekly load utilization per truck

• Check the correctness of the billings of the truckers for payment.

8. PRODUCT AWARENESS

• Must be updated on the different products of the company by regularly reviewing the updated SKU list and memos from Marketing Department.

9. Other Job-Related Tasks

• Ensure Integrity, Accuracy, Completeness and Timeliness (I-ACT) in the submission of reports.

• Follow the set company standards pertaining to care and maintenance of company assets.

• Perform other job-related duties and functions that may be assigned by the superior from time to time.
