Job Description

The Recruitment and Admin Specialist is responsible for delivering end-to-end recruitment execution, maintaining candidate engagement, and ensuring administrative accuracy across hiring and onboarding processes.
The role is accountable for pipeline strength, hiring conversion, onboarding completion, administration work and data integrity, ensuring that hiring requirements are fulfilled efficiently while minimizing drop-offs and operational delays.

Key Responsibilities:
  1. Recruitment Execution
  • Manage end-to-end recruitment activities (sourcing, screening, scheduling, endorsement)
  • Maintain active and sufficient candidate pipelines per role
  • Coordinate with hiring stakeholders to ensure timely progression of candidates
  • Support onboarding requirements and pre-engagement documentation

2. Funnel & Conversion Management

  • Track candidates across all hiring stages and ensure progression within SLA
  • Identify and address bottlenecks causing delays or candidate drop-offs
  • Ensure timely follow-ups and communication (within 24 hours)
  • Maintain accurate and updated records in trackers

3. Candidate & New Hire Engagement

  • Act as the primary point of contact for candidates
  • Ensure continuous engagement from application to onboarding
  • Conduct follow-ups, reminders, and readiness checks
  • Monitor early-stage engagement risks (no-shows, inactivity, delays)

4. Administrative Support

  • Managing end-to-end recruitment and onboarding and off-boarding documentation, including preparation and maintenance of contracts, trackers, and personnel files
  • Ensuring accuracy, completeness, and timely updating of all candidate and employee records
  • Coordinating with cross-functional teams (Human Resources, Finance, Operations) to facilitate seamless onboarding and administrative processes
  • Supporting scheduling, calendar management, and overall coordination of recruitment activities and broader HR initiatives
  • Maintaining organized, accurate, and up-to-date digital records, including but not limited to Headcount Reports, Asset Tracking, Attrition Data, Payroll records, and all other HR documentation

5. Early Retention Support

  • Monitor onboarding progress and early engagement of hires
  • Flag and escalate risks impacting activation and productivity
  • Coordinate with Training and Operations to resolve onboarding issues

6. Reporting & Data Management

  • Maintain real-time and accurate data in ATS and trackers
  • Provide regular reports on Recruitment and Onboarding:
  • Pipeline status
  • Conversion rates
  • Hiring timelines
  • New Hires
  • Engagement Calendar and Completed Activities
  • Highlight risks and recommend corrective actions

Qualifications

  • Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field, with 2–4 years of experience in recruitment and HR administration.
  • Proven experience managing the full recruitment cycle, including sourcing, interviewing, hiring, onboarding, and maintaining HR documentation.
  • Strong organizational, prioritization, communication, and stakeholder management skills, with the ability to coordinate onboarding, early-tenure activities, and manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to work independently with minimal supervision while serving as a senior individual contributor and reliable second-in-command to the HR Manager, maintaining professionalism, integrity, and a high level of attention to detail.

Work Set-up

  • Schedule : May require flexible hours but with focus on mid-shift (start of shift at 12NN or 1PM)
  • Workdays: Five-day workweek with two rest days.
  • Location: Fully remote
  • Desktop/laptop with Intel i5 (10th gen), 8GB RAM or higher
  • Minimum 25 Mbps internet speed with backup connection
  • Backup power supply for at least 8 hours
