Position: Logistics Coordinator

Work Setup: On-site

JOB DESCRIPTION

• Assist with event ingress, setup, staging, on-site equipment placement, teardown, and egress.
• Coordinate deliveries, inventory movement, loading and unloading, and logistics tracking.
• Ensure event assets, materials, and equipment are labeled, secured, accounted for, and transported properly.
• Support venue preparation and coordinate with suppliers on delivery, access, and collection requirements.
• Support Project Managers and event leads with administrative tasks and hands-on event execution.
• Attend project meetings or venue oculars when required and provide clear notes, action items, and follow-up summaries.
• Document event processes using setup photos, checklists, logistics trackers, and operational reports.
• Prepare liquidation documentation and contribute to post-event reports, including receipts, expense records, and inventory returns.
• Assist in sourcing suppliers for printing, fabrication, logistics, rentals, and other event requirements.
• Follow up on supplier production schedules and delivery timelines, and report updates or risks to the event lead.
• Assist in booking logistics-related services, including van rentals, transportation, and outsourced manpower.
• Collect quotations and coordinate supplier requirements and documentation as assigned.
• Help source and coordinate outsourced manpower, including volunteers, event assistants, and on-ground crew.
• Assist with staff briefings, task assignments, attendance checks, and performance monitoring during event days.
• Escalate attendance issues, staffing gaps, or performance concerns to the event lead promptly.
• Keep warehouse and storage areas organized, labeled, and updated.
• Track event material inventory, monitor stock levels, and flag low or damaged stock to the team.
• Support procurement for event requirements, including gathering specifications, quotations, and purchase requests.
• Assist with general office and event-related errands as needed.
• Perform other related tasks or assignments as required by management and project needs.

QUALIFICATIONS

• At least 1 year of experience in event coordination, event logistics, production support, warehouse operations, or a related field.
• Established relationships with event suppliers and vendors are an advantage.
• Basic understanding of event production elements, including lighting, sound, staging, fabrication, rentals, and equipment handling.
• Strong communication, coordination, and organizational skills, with the ability to multitask and prioritize effectively.
• Ability to think critically, solve problems calmly, and respond constructively to last-minute changes.
• Comfortable with inventory trackers, checklists, receipts, and basic documentation using Excel or Google Sheets.
• Willingness to work on-site, including early call times, evenings, weekends, holidays, and extended hours when required by event schedules.
• Willingness to travel to event venues and project locations as needed.
