Summary
We are seeking a Virtual Assistant "Builder" to help bring structure to our internal systems. Working directly with our client in a lean setup, you will manage a mix of administrative coordination and financial operations. This role is designed for a disciplined executor who demonstrates strong ownership and adaptability.
What you’ll be doing:
- Financial & Payment Operations: Process DTConnect invoices and ad hoc payments through Rho. Conduct weekly checks and approvals of reimbursements in Rho after manager approval.
- Revenue Support: Perform a daily check on failed payments, retrying payments as needed, and alerting the team. Manually check Metronome usage for all customers twice a week.
- Customer Lifecycle: Update HubSpot for churns, trial losses, or closed-lost deals; verify Stripe/Metronome cancellations and create Jira offboarding tickets.
- Internal Operations: Track security questionnaires shared with Rhymetec, follow up on their status, and update the internal tracker. Update the company handbook in Rippling as changes occur.
- Team Support: Manage Rho requests (card limits, new cards, receipts) and issue customer cards every quarter. Help with reservations, bookings, and other ad hoc office requests.
- Documentation: Update documentation in Notion and create SOPs for internal tasks to improve efficiency.
Qualifications and Requirements:
- Experience: Minimum of 2+ years of experience as a Virtual Assistant or Operations Specialist.
- Operational Mindset: Proven ability to operate with minimal structure and a hands-on approach to building workflows.
- Technical Familiarity: Comfortable using Rho, Jira, Rippling, Notion, and DocuSign.
- AI & Automation: Required experience with AI productivity tools (ChatGPT/Gemini). Ability to use AI/Claude for drafting research and streamlining workflows.
- Accountability: High level of trust and discretion is required, particularly for handling financial transactions and sensitive documents.
- Execution Focus: A track record of maintaining consistency in daily output and managing repetitive tasks with discipline.
- Operational Mindset: Proven ability to operate with minimal structure and a hands-on approach to building workflows.
- Communication: Exceptional written and verbal English skills for professional B2B outreach and documentation.
