Position Overview
The Junior Project Coordinator (JPC) supports the execution and administration of Vivant's customer installation, connectivity, and service projects.
This role is responsible for reviewing customer and carrier information, performing cost analysis audits, setting up customer accounts, creating projects and service documentation, coordinating ISP orders and carrier transitions, managing tickets and tasks, and ensuring billing and compliance information is accurate.
The JPC works closely with Project Managers, customers, Internet Service Providers (ISPs), carriers, vendors, and internal teams to ensure projects move efficiently from initial setup through installation and completion.
Key Responsibilities
1. ISP Research, Cost Analysis & Serviceability Audits
- Perform New Cost Analysis (NCA) and existing-service audits to determine available ISP services, pricing, contract terms, and serviceability for customer locations.
- Research and evaluate available internet service providers (ISPs) and carrier options based on service availability, minimum speed requirements, pricing, connection type, contract terms, and business needs.
- Review existing ISP services and identify opportunities for service optimization, cost savings, upgrades, transfers, or replacement services .
- Perform required Old ISP Audits for existing locations before initiating new ISP audits or service changes.
- Validate ISP availability and pricing using approved research tools, carrier resources, and direct ISP confirmation.
- Document ISP findings, recommendations, serviceability results, pricing, contract information, and ordering requirements.
- Assist with identifying the recommended ISP and service option based on customer requirements, availability, reliability, and cost.
2. Customer & Utiliko Account Setup
- Create and maintain accurate Client, Superparent, location, and customer records in Utiliko .
- Review customer information received from Sales, franchisees, customers, and internal teams to ensure records are complete and accurate.
- Update account information when changes occur.
3. Project, Agreement, Ticket & Task Management
- Prepare and generate service agreements, proposals, estimates, projects, tickets, and tasks based on approved customer requirements.
4. ISP & Carrier Coordination
- Place new service orders with Internet Service Providers and carriers.
- Coordinate the transition from existing/legacy carriers to new service providers.
- Track ISP orders from submission through installation and activation.
- Coordinate porting requirements and ensure required information is available before placing orders.
- Manage Transfer of Ownership (TOB/TOO) requests when applicable.
5. Billing, PCI Compliance & MID Accuracy
- Review customer billing information for accuracy.
- Ensure billing details are properly reflected in customer and project records.
- Verify PCI compliance information associated with applicable customer services.
- Ensure MIDs (Merchant IDs) are accurate and properly documented.
Requirements
- High school diploma or equivalent required
- Proven experience as an Administrative Associate, Project Coordinator, Operations Associate, Service Coordinator, or similar support role.
- ISP, telecommunications, managed services, or technology industry experience is highly preferred.
- Exceptional attention to detail and accuracy.
- Fast and accurate typing, data entry, and note-taking skills.
- Experience with outbound calling and client communication.
- Ability to manage multiple projects, tickets, requests, and follow-ups simultaneously.
- Strong follow-through and accountability.
- Ability to work independently while following established processes and procedures.
- Customer Service Representatives with a strong background in telecommunications are encouraged to apply.
