Corporate Documentation Assistant

A. PROJECT & DATABASE MANAGEMENT

  1. Created, maintained, and managed a centralized corporate regulatory and project database to improve document tracking, retrieval, and monitoring efficiency.
  2. Monitored compliance reports, renewal schedules, regulatory deadlines, and project timelines, ensuring timely and accurate submissions to concerned agencies.
  3. Conducted fieldwork and ad hoc assignments, including attendance at government-led forums, meetings, and official events, to support compliance and operational objectives.
  4. Assisted in monitoring ongoing corporate projects and documentation requirements across multiple departments.
  5. Ensured proper safekeeping, confidentiality, and organized storage of corporate and regulatory records in both physical and digital formats.
  6. Served as Document Controller, responsible for the creation, maintenance, and administration of a centralized corporate regulatory and project database to improve document tracking, retrieval, version control, and monitoring efficiency.

B. CORPORATE DOCUMENTATION

  1. Managed and maintained corporate legal documents, including but not limited to SEC records, stock and transfer books, secretary’s certificates, board and shareholder resolutions, and corporate registrations.
  2. Coordinated with directors, officers, shareholders, and authorized representatives to ensure completeness, accuracy, and timely execution of corporate documents.
  3. Ensured proper documentation flow, internal recordkeeping, and filing in accordance with company policies and corporate governance standards.
  4. Assisted in notarization, certification, and internal routing of corporate documents for approval and execution.

C. REGULATORY COMPLIANCE

1. Assisted in the preparation, filing, processing, and renewal of regulatory applications, permits, licenses, and reports with government agencies, including but not limited to:
  • Department of Energy (DOE)
  • Energy Regulatory Commission (ERC)
  • Board of Investments (BOI)
  • Department of Environment and Natural Resources (DENR)
  • National Water Resources Board (NWRB)
  • Other applicable regulatory authorities
  1. Monitored regulatory compliance calendars, renewal schedules, and submission deadlines to ensure timely and accurate filings.
  2. Coordinated regulatory communications, official letters, follow-ups, and submissions with concerned agencies.
  3. Maintained organized regulatory records and ensured compliance with applicable laws, rules, and regulations.
  4. Acted as document custodian for regulatory permits, licenses, certifications, and compliance reports.

C. EXECUTIVE SUPPORT & COORDINATION

  1. Provided administrative and executive support to senior executives, including schedule management, and daily operational support.
  2. Scheduled, organized, and facilitated online and in-person meetings with internal teams, executives, and external stakeholders, including
government agencies. 3. Assisted in organizing, scheduling, and facilitating Zoom and other virtual meetings, including preparation of meeting links, sending calendar invites, managing waiting rooms, screen sharing, recording sessions, and providing real-time technical support to participants whenever the designated IT or technical support personnel were unavailable. 4. Acted as liaison between management, internal departments, and external partners to ensure smooth communication and coordination. 5. Assisted in planning and execution of company events, including company-wide activities, serving as organizer, host, and activity facilitator when required.

D. FINANCIAL & PROJECT ASSISTANCE

  1. Assisted in the preparation and processing of bank loan and financing applications with various financial institutions, including government and private banks.
  2. Prepared, compiled, and submitted reportorial requirements necessary for project financing, permits, and regulatory compliance.
  3. Processed payment requests, and assisted in financial transactions related to permits, licenses, projects, and operational expenses.
  4. Coordinated financial documentation and transactions to ensure accuracy, completeness, and timely disbursement.
E. SAFETY OFFICER- ADMINISTRATIVE & COORDINATION FUNCTIONS
  1. Assisted in the preparation, updating, and maintenance of the Company Safety and Health Program in accordance with DOLE OSHS.
  2. Maintained safety records, incident logs, safety reports, and related documentation for audit and inspection purposes.
  3. Coordinated safety-related communications, internal advisories, and basic safety orientations as required.
  4. Assisted in documenting workplace incidents, safety observations, and corrective actions, and supported required reporting to DOLE when applicable.
  5. Performed safety coordination and documentation tasks within the scope of administrative and support functions, as assigned by management.
