Quotation and Administration Coordinator (Iloilo)

ABOUT THE ROLE

As a Quotation and Administration Coordinator, you will help manage quote requests, documents, and follow-ups across the company's New Zealand branches.

You will work closely with estimators and operations managers to make sure quote details are complete, recorded correctly, sent to the appropriate person, and followed up on time. You will also assist with other day-to-day administrative and business support tasks.

WHAT YOU'LL BE WORKING ON:

Quotation and Sales Support

● Receive, enter, and manage quote requests and inquiries.

● Check that client, site, scope, plans, and supporting information are complete and correct.

● Follow up missing information with Clients, Estimators, and Operations Managers.

● Assist with compiling, formatting, and emailing quotations.

● Follow up issued quotes and record outcomes.

● Monitor potential leads through tender portals, council websites, and other lead sources.

● Contact prospective clients and assist with business development follow-up.

● Maintain accurate quote, lead, and follow-up records.

Administration

● Provide general administration support across the business.

● Prepare reports, correspondence, spreadsheets, and other documentation.

● Maintain company records, registers, and systems.

HR and Payroll Support

● Maintain training, PPE, uniform, and employee records.

● Assist with timesheet checking and payroll preparation.

● Follow up missing or incorrect payroll information.

WHAT WE'RE LOOKING FOR:

● Fresh graduates or candidates with up to 2 years of experience in administration, quote coordination, estimating support, construction support, or a related role.

● Comfortable working with documents, systems, emails, and detailed information.

● Strong attention to detail and able to identify missing or incorrect information.

● Organized and able to manage several requests and deadlines.

● Clear written and verbal communication skills.

● Proficient in Microsoft Office; experience with Outlook and SharePoint is an advantage.

● Able to communicate and coordinate with different teams.

● Experience in construction, scaffolding, engineering, or trade services is an advantage but not required.
