Senior Facilities Manager

We are looking for a Senior Facilities Manager who will be First Circle's owner of the physical workplace, end to end. You will oversee First Circle’s full office fit-out on-site, directing construction, engineering, permitting, and furnishings. As the company grows, you will take full ownership of facilities by scaling operations across new office spaces while maintaining an outstanding workplace experience.

This is a builder's role, not a caretaker's. You will hold a general contractor accountable on schedule, cost, and quality; drive government permits; and be the single point of accountability leadership looks to for "where are we, what's at risk, what do you need."

What you will do

1. Running the fit-out on the ground. Being on-site daily as the company's representative. Keep the contractor’s project manager strictly on track against the bill of quantities, key milestones, and a meticulous construction schedule. Send daily progress updates and lead weekly reviews with leadership to cover progress, resolved issues, open risks, and required decisions.
2. Controlling cost. Track spend against the approved budget. Review and vet all change orders and progress billings before signing off, ensuring clear cost-impact documentation. Properly assign defect root causes, handle owner-side procurement directly where it saves cost.
3. Driving permits and safety. Manage the full local government unit (LGU) permitting process, occupancy permits, and fire safety inspection certificates. Ensure Occupational Safety and Health standards are built directly into the fit-out operations. Coordinate post-project address updates across government registrations alongside People and Finance teams.
4. Planning and executing the move. Sequencing, mover and IT cabling vendors, workstation transfer and deep-clean, seat plan, and a move weekend that keeps business disruption near zero.
5. Managing the landlord and vendors. Act as the primary daily contact for building management. Handpick and oversee vendors for cleaning, security, maintenance, and pantry services with clear SLAs in place.
6. Owning ongoing facilities operations. Lead ongoing space planning and adapt the desk model as headcount scales (hybrid, peak-occupancy based). Manage the overall facilities budget, ongoing repairs and maintenance, and workplace safety programs.

Requirements

Who we’re looking for

• Non-negotiable experience: You have personally led at least one large-scale office fit-out and relocation end to end.
• Years of relevant experience: 5+ years in facilities management, including ownership of facilities for an office of 300+ headcount.
• Construction and fit-out literacy: You can read a bill of quantities, engineering plans, and progress billings, and challenge them.
• Metro Manila LGU permitting experience (Taguig/BGC a strong plus).
• Budget ownership of capital projects with documented cost control.
• Available on site in BGC daily.
• Great stakeholder management as you’ll be communicating with different stakeholders (contractors, suppliers, leadership and management)

Strong pluses

• Engineering, architecture, or construction management background; PMP or equivalent.
• Experience in premium BGC/Makati office towers.
• BOSH/COSH safety officer certification.
• Facilities buildout for a company in a rapid-growth phase or across multiple sites.
