⏰ Work Schedule: The schedule will be structured around the U.S. Eastern Time business hours, with availability distributed across morning, midday, and afternoon periods. A sample schedule may include staggered four-hour shifts such as 10 AM - 2 PM and 2 PM - 6 PM ET on alternating days.
Salary: $10 - $12 per hour + Commissions

ROLE OVERVIEW

About the Client:

The client is an insurance and financial services professional specializing in life insurance, disability insurance, and retirement planning. The client works primarily with qualified leads, including federal government employees and healthcare professionals, who have already expressed interest through submitted mailers. With a large existing lead database and a strong focus on helping clients secure appropriate financial protection, the client is looking for a reliable professional who can take ownership of lead management and appointment setting. The role will directly support the client by keeping leads engaged, organized, and consistently moving through the sales process.

 

About the Role

We are seeking a proactive, highly organized Appointment Setter & Operations Assistant to manage our lead pipeline and drive appointment volume.

In this role, your primary objective is ensuring every lead is contacted consistently, organized properly, and moved through our pipeline toward booked appointments. You will focus on outbound calling, handling basic objections, managing our GoHighLevel (GHL) CRM, and supporting basic insurance administration tracking.

We are looking for a true self-starter who opens the CRM each day, knows exactly what needs attention, works through the pipeline independently, and provides clear summaries of daily activity and results.

 

Key Responsibilities

Phase 1: Core Focus (Immediate)

• Outbound Calling & Appointment Setting (50%): Conduct phone outreach to incoming and existing warm, aged, and re-engagement lead s. Have natural conversations, handle basic objections, and confidently schedule qualified appointments on the calendar.
• GoHighLevel CRM Management (25%): Maintain organized lead records, update pipeline stages, document notes, create follow-up tasks, and track confirmations, reschedules, and no-shows so no opportunity falls through the cracks.
• Multi-Channel Follow-Up (10%): Support phone calls with professional SMS and email outreach to re-engage leads who don't answer initially.
• Insurance Operations & Client Tracking (10%): Assist with tracking application statuses, carrier requirements, contracting paperwork, and certification/AHIP deadlines.
• Process & Reporting Ownership: Proactively track and report on activity metrics (calls made, conversations reached, texts/emails sent, appointments booked/confirmed) and fully own the end-to-end lead pipeline with minimal supervision.
• Basic Video & Social Support (Secondary function IF calling and CRM expectations are met): Perform light editing on short-form videos using CapCut (captions, basic branding, repurposing) and schedule posts across platforms. This will only be done if the calling and CRM requirements of the role are met. 

Phase 2: Expanded Scope (Future Growth)

• LinkedIn Outreach: Expand lead generation through structured LinkedIn outreach and prospecting once core calling processes run seamlessly.

Key Requirements

Must-Haves

• Sales & Phone Skills: Proven track record in outbound calling, re-engaging old leads, handling objections, and booking appointments. Must speak English with clear, professional fluency (natural, non-scripted tone).
• GoHighLevel Expertise: Direct, hands-on experience using GHL pipelines, workflows, automations, tags, and calendars.
• Self-Starter Mindset: Highly organized, detail-oriented, and able to handle sensitive client data discreetly.

Nice-to-Haves

• Prior experience in Insurance or Financial Services (Life, Disability, Retirement).
• Bilingual in Spanish .
• Familiarity with CapCut, WordPress, and productivity AI tools (ChatGPT/Claude).
