Backroom Support

The Backroom Support provides administrative, coordination, and operational assistance to the Sales Team and Management to ensure the efficient handling of customer requirements, sales documentation, orders, samples, and other activities necessary to support the smooth and timely execution of sales transactions. The position serves as a key support function between sales personnel, customers, logistics, warehouse, and management by ensuring that sales-related administrative requirements and follow-ups are properly coordinated and completed.

DUTIES AND RESPONSIBILITIES

• Provide administrative and operational support to the Sales Team and Management.
• Assist in scheduling appointments, preparing correspondence, quotations, orders, and other sales-related documents.
• Attend to customer inquiries and coordinate requests with the appropriate sales personnel or department.
• Process and monitor customer orders, including coordination with Sales, Warehouse, Logistics, and customers until successful delivery.
• Ensure completeness and compliance of customer and delivery documentation.
• Prepare and monitor samples, brochures, catalogs, and other sales materials; ensure proper tracking and return of samples.
• Assist in inventory monitoring and control of sales samples and related materials.
• Maintain organized and accurate records of sales transactions and documents.
• Perform regular follow-ups on pending orders, deliveries, documents, samples, and other assigned tasks.
• Perform other related duties and responsibilities as may be assigned by Management.

QUALIFICATIONS

• Bachelor’s degree in Business Administration, Marketing, Office Administration, or any related field is preferred.
• At least 1–2 years of experience in sales administration, sales support, customer service, office administration, or a related position.
• Experience in an industrial, trading, distribution, or similar business environment is an advantage.
• Proficient in Microsoft Office applications, particularly Word and Excel.
• Good written and verbal communication skills.
• Strong organizational and administrative skills.
• Able to manage multiple tasks, priorities, and deadlines.
• Detail-oriented, organized, and accurate in handling documents and information.
• Customer-service oriented and professional when dealing with customers and internal personnel.
• Able to work independently while maintaining effective coordination with the Sales Team and other departments.
• Willing to perform other related tasks as may be assigned by Management.
