Operations & Customer Success Virtual Assistant

We are seeking a highly organized, proactive, and tech-savvy Operations & Customer Success Virtual Assistant to support our growing team. This role combines customer success, operational support, and administrative responsibilities to ensure a seamless client experience from onboarding through ongoing account management.
The ideal candidate has strong experience managing client relationships, streamlining operational processes, working with CRM platforms such as GoHighLevel (GHL), and handling spreadsheets, billing, and payroll-related tasks. Excellent communication skills and attention to detail are essential.
Key Responsibilities
- Manage client onboarding and ensure a smooth transition for new customers.
- Serve as a primary point of contact for client inquiries, providing timely and professional support.
- Maintain and update client information within GoHighLevel (GHL) and other business systems.
- Track client activities, workflows, and project progress to ensure deadlines are met.
- Create, maintain, and analyze spreadsheets for operational reporting, tracking, and performance metrics.
- Assist with billing, invoicing, payroll coordination, and other administrative finance-related tasks.
- Coordinate internal operations and communicate effectively across departments.
- Identify opportunities to improve workflows and operational efficiency.
- Prepare reports, documentation, and SOPs as needed.
- Perform other operations and customer success tasks assigned by management.
Requirements
- Minimum of 2 years of experience in Operations, Customer Success, Executive/Administrative Support, or a similar remote role.
- Experience managing client onboarding and customer relationships.
- Hands-on experience using GoHighLevel (GHL) or similar CRM platforms.
- Advanced proficiency in Google Sheets or Microsoft Excel, including formulas, reporting, and data analysis.
- Experience supporting billing, invoicing, payroll, or related administrative processes.
- Excellent verbal and written English communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities independently in a fast-paced remote environment.
- High level of professionalism, accountability, and problem-solving ability.
- Strong technical aptitude and the ability to learn new software quickly and systems.
Preferred
- Experience working with agencies, SaaS companies, consulting firms, or service-based businesses.
- Familiarity with project management tools such as Asana, ClickUp, Monday.com, or Trello.
- Experience documenting workflows and creating Standard Operating Procedures (SOPs).
- Basic knowledge of automation platforms such as Zapier or Make.
