Pricing Officer

JOB OBJECTIVE:

The Project Quotation Officer (PQO) is responsible for reviewing, estimating, preparing, monitoring, and documenting all quotation-related processes. This includes close coordination and, when necessary, negotiation with ZGC principals and the ZGC Sales Team. The role supports the company in achieving its annual sales targets while maintaining profit margins and fostering strong relationships with principals.

RESPONSIBILITIES:

Request for Quotation (RFQ) Management

Internal Communication & Processing:

• Verify data accuracy using available resources such as brochures and online catalogues.

• Ensure proper costing and confidentiality, including computations for air and sea freight prices.

• Provide the best possible lead time to Sales, considering all order-related factors.

• Prepare accurate and complete quotations with correct technical data attachments.

• Assist in resolving issues during shipment or after delivery.

External Communication with Foreign Principals:

• Ensure all inquiries are correctly and clearly communicated.

• Provide complete and concise responses to principal inquiries and clarifications.

• Forward relevant clarifications to the requesting group with only accurate, related information.

• Validate principal offers against sales requests before releasing quotations.

• Negotiate for better pricing whenever feasible.

RFQ Status & Feedback Monitoring:

• Monitor all RFQs and provide timely feedback to requesting groups.

• Maintain organized documentation for all quoted requests to ensure smooth coordination.

• Review sales feedback and share key insights or recommendations with the Project Quotation Supervisor.

• Provide regular updates to principals on the progress of quoted requests.

• Respond promptly to all email and phone inquiries from the Sales team.

RFC (Request for Certificate) Processing

Scope: Appointments, Test Certificates, UL Certificates, etc.

• Verify completeness and accuracy of all data in each request.

• Provide correct certificates to the Sales group and ensure confidential information is filtered out.

• Edit and format documents as required.

Sales Lead Management

• Receive and evaluate all sales leads.

• Disseminate potential leads to the Sales group, ensuring confidentiality of sensitive data.

• Keep organized records and consistently follow up on all leads.

• Assist in leads conversion through immediate response to RFQs linked to sales leads.

• Analyze sales feedback to identify gaps and recommend improvements.

Reports & Data Management

• Prepare and submit a weekly summary report and status of all RFQ / RFC requests.

• Safeguard confidential data/ document/ report.

• Prepare additional reports as needed.
