Our client is hiring an Accounting Specialist to become the foundational member of their accounting team, taking over day-to-day transactional accounting operations. This hire will free the founder to shift from 'doing' to 'reviewing,' so he can focus on scaling the business and building banking relationships. As the company's first dedicated accounting hire, this person will have real ownership in building out the department's processes and SOPs from the ground up.

If you're a detail-oriented problem-solver who takes pride in clean books, communicates mistakes openly instead of hiding them, and wants to help build an accounting function from scratch—this role could be a great fit for you. ✨

✅ Qualifications:

Must-Haves:

• Extremely Organized & Detail-Oriented – Sharp enough to catch mysterious transactions and reconcile accounts with precision.
• Strong Problem-Solving Skills – Comfortable investigating and troubleshooting unknown or discrepant transactions.
• High Integrity – Communicates mistakes immediately rather than hiding them.
• Accounting Software Proficiency – Experience with Xero, QuickBooks, or similar platforms.
• Comfortable with Phone & Text Communication – Ready to work with voice calls, Google Voice, texts, and voice messages.
• Reconciliation Experience – Background reconciling bank and vendor accounts.

Nice-to-Haves:

• Bilingual (Spanish/English)– A plus if supporting the phone and order-taking side of the role.
• Construction or Field-Operations Background – Experience with job management systems, labor crews, or vendors like Home Depot is a bonus.
• Excel Skills – Comfortable with spreadsheets (advanced formulas not required).
• ☎ Customer Service Experience – A bonus if taking on order-taking responsibilities.

Responsibilities of the Accounting Specialist:

Your responsibilities include:

• Daily Bank & Vendor Reconciliation

• Perform daily bank reconciliations rather than waiting until month-end
• Review and log daily transactions feeding in from the job management system, credit cards, and bank accounts into Xero
• Investigate and troubleshoot discrepancies or unclear transactions, flagging charges without associated bills to Project Managers
• Reconcile vendor statements to resolve charge discrepancies using monthly statements or vendor portal logins

• Documentation & Receipt Management

• Retrieve auto-drafted transaction receipts by logging into vendor portals and attaching them in the accounting system
• Help test and implement new receipt-capture tools to streamline the process
• Document processes and help build out SOPs for the accounting department

• Vendor Communication & Payment Processing

• Email payment summaries to vendors explaining the breakdown of payments applied
• Reconcile payments in the bank account once they clear through the accounting system

• Month-End Accounting Operations

• Set up and edit recurring templates for month-end journal entries
• Handle recurring entries such as insurance, payroll accruals, and cost of goods sold for work in process

• Credit Application Processing

• Draft and complete credit applications for new trade accounts using existing templates
• Convert non-fillable forms into fillable PDFs and route them for final signature

• Vendor Phone Support (Growing Responsibility)

• Act as phone support for suppliers like Home Depot, Lowe's, and Sherwin Williams when field crews are purchasing materials
• Follow a simple script to record transaction details for each call
• Help manage a growing call volume as this part of the role expands over time
