Integrations Assistant

Swak BPO Corp

Our work environment represents a culture of dedication, stability, and teamwork. As the business expands, we are to looking to hire an Integration Assistant to join our growing company.

The successful hire will perform semi-complex administrative support work, that involves disseminating information, and maintaining electronic filing systems. He/she will also perform administrative support work under general supervision with moderate ability to initiate and maintain independent judgment.

Job Responsibilities:

  • Coordinate with agency sellers, sales and operations teams, and external vendors to support the transition of vendor contracts and relationships
  • Ensure licenses for legacy agency management systems and rating tools are properly reduced following integration
  • Support due diligence activities for upcoming transactions by assisting with documentation and related tasks
  • Work closely with IT teams to facilitate the transfer of phone, email, and network access
  • Maintain and update contact lists and administrative records
  • Prepare and assist with regularly scheduled reports and research requests
  • Manage and organize electronic filing systems to ensure easy access to information
  • Provide administrative support to Specialty Teams as needed
  • Respond to inquiries, provide requested information, and generate reports as required
  • Handle multiple projects simultaneously while meeting deadlines
  • Perform general administrative duties, including filing, correspondence, and handling general inquiries
  • Manage sensitive and confidential information with professionalism and discretion
  • Improve and maintain administrative systems to enhance efficiency and organization
  • Retrieve information from records, emails, and other documentation, and prepare written summaries when needed
  • Address and resolve administrative questions and requests
  • Perform additional administrative tasks as assigned to support team objectives

Job Qualifications:

  • Minimum of 3 years of experience in an administrative or assistant role
  • Advanced proficiency in Microsoft Office 365, particularly Excel
  • Strong understanding of office management systems and administrative procedures
  • Excellent time management skills with the ability to multitask and prioritize effectively
  • High attention to detail with strong problem-solving capabilities
  • Excellent written and verbal communication skills
  • Strong organizational, planning, and coordination abilities
  • High school diploma or equivalent required; college degree preferred
  • Proven ability to work collaboratively as part of a team
