Executive Operations Specialist

We are looking for highly capable, organized, and proactive Executive Operations Specialists  who will work directly with the CEO and provide high-level administrative and operational support.

Key Responsibilities

• Executive Email Management: Manage the CEO’s inbox by monitoring incoming emails, prioritizing messages, and drafting or responding to communications as needed.
  

• Administrative Support: Handle various administrative tasks, prepare reports, conduct research, and assist with other executive requirements.
  

• Communication Management: Respond to inquiries through phone calls, chats, emails, and other communication channels in a professional and timely manner.
  

• Calendar and Meeting Coordination: Manage the CEO’s calendar, schedule appointments, coordinate meetings, and ensure commitments are properly organized.
  

• Executive and Operational Support: Assist with day-to-day executive and operational tasks to ensure smooth business operations.
  

• Task and Deadline Management: Coordinate assignments, monitor progress, and follow up with relevant individuals to ensure deadlines and priorities are met.
  

• End-to-End Recruitment: Facilitate the entire recruitment process, including job posting, candidate sourcing, application screening, interview coordination, candidate communication, and recruitment follow-ups.
  

• Human Resources Support: Assist with various HR functions, including employee coordination, documentation, onboarding, and other HR-related administrative tasks as required.
  

Requirements

• At least 2 years of experience as an Executive Assistant or in a similar administrative, operational, or executive support role.
  
•   B2-level English proficiency or higher, with strong verbal and written communication skills.
  
• A master’s degree in any of the following fields:
  

1. Information Technology
2. Business Administration
3.   Accounting
4. A closely related field in business, management, or administrative operations
   

• Highly resourceful, proactive, and analytical, with strong problem-solving, critical-thinking, and decision-making skills.
  
• Excellent organizational, multitasking, and time-management abilities.
  
• Strong attention to detail and the ability to handle confidential and sensitive information with discretion.
  
• Ability to work independently, take initiative, and manage competing priorities effectively.
  
• Willingness and flexibility to work on weekends when necessary.
  

Benefits

• Rate: ₱300 per hour + HMO
  
• Workload: 40–50 hours per week
