Job Title: Maintenance Clerk / Maintenance Assistant
Job Description:
We are looking for a reliable and detail-oriented Maintenance Clerk / Maintenance Assistant to provide administrative support to the Maintenance Department. The role is responsible for monitoring maintenance activities, preparing reports, maintaining accurate records, coordinating with production and maintenance personnel, and ensuring timely processing of maintenance-related documents.
Key Responsibilities:
- Monitor and update the daily Machine Running Report by coordinating with machine operators regarding machine status, downtime, and estimated run time.
- Record and monitor maintenance employees' overtime, tardiness, absences, and leave.
- Verify maintenance schedules and ensure overtime forms are properly completed and submitted.
- Prepare and process Requisition Slips and other maintenance-related documents.
- Monitor and process Acceptance Receipts (AR) and Incoming Inspection Reports (IIR).
- Receive, record, and file Job Order (JO) forms and maintain accurate documentation.
- Track pending Job Orders through logbooks and coordinate with operators to ensure timely submission.
- Prepare Incident Reports for missing or delayed Job Order forms.
- Prepare the weekly Maintenance Schedule every Wednesday and Saturday for approval and distribution.
- Maintain organized filing systems for maintenance records and reports.
- Coordinate with different departments regarding maintenance concerns and documentation.
- Perform other administrative and clerical duties assigned by the Maintenance Supervisor.
Qualifications:
- Bachelor's degree in Business Administration, Office Administration, Industrial Engineering, or any related course. or undergrad/shs grad
Proficient in Microsoft Office (Excel, Word, Outlook).
- Strong organizational and documentation skills.
- Excellent attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to multitask and meet deadlines.
- Fresh graduates are welcome to apply.
