Hi! We're Smartsourcing, and we're looking for a Junior Finance Operations Support to support our finance and operations team. You'll assist with data entry, recurring reporting, basic financial analysis, and information management—helping maintain data accuracy, generate meaningful insights, and support informed decision-making while keeping reporting processes organized and efficient.

About the Role
The Junior Finance Operations Support role supports the Finance and Operations teams by ensuring that financial and operational data is entered, checked, organized, and submitted accurately and within agreed timelines. It also assists with the preparation of recurring reports, including Supply KPI reporting, and supports basic cost, margin, and conversion-cost tracking under the guidance of the Supply Finance Manager.
Key Responsibilities
A. Financial Data Entry and Data Integrity
- Accurately enter and maintain financial data across spreadsheets and finance systems
- Verify figures and reconcile entries to ensure completeness and accuracy
- Maintain organized, well-labelled records that are easy for the team to retrieve
- Flag discrepancies, missing data, or anomalies to the Supply Finance Manager promptly
- Follow established SOPs and data-handling standards at all times
B. Financial Processing & Analysis Support
- Support routine financial processes as directed by the Finance team
- Assist with basic analysis of costs, margins, and conversion-cost data
- Prepare supporting schedules and worksheets for review
- Help track performance against gross margin and EBITDA targets
- Apply Excel functions to organize, summarize, and check data
C. Reporting & Supply KPI Reporting
- Prepare and submit the weekly Supply KPI report on schedule
- Ensure all reported figures are accurate and reconciled before submission
- Maintain and update periodic and recurring finance reports
- Format reports clearly and consistently for stakeholder use
- Identify and apply improvements to recurring report templates
D. Stakeholder Communication & Request Management
- Read, interpret, and action requests received via email accurately
- Clarify requirements with requesters where instructions are unclear
- Provide timely updates on the status of assigned tasks
- Coordinate with the Finance & Operations team to meet deadlines
- Escalate blockers or competing priorities early
E. Prioritisation & Operational Efficiency
- Manage multiple concurrent requests and prioritise effectively
- Plan and manage time to meet all submission deadlines
- Maintain quality and accuracy while working at pace
- Suggest improvements to recurring workflows where appropriate
- Complete all assigned tasks within agreed daily and weekly targets
F. Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy relevant to their role, including the ability to understand, use, and evaluate AI-supported tools for work efficiency and decision-making.
- Use approved AI tools and digital systems in compliance with company policies, data privacy requirements, information security standards, and client confidentiality obligations.
- Apply sound judgment in AI use by validating outputs, avoiding overreliance, and ensuring accuracy, fairness, and professional accountability for all work delivered
- Participate in required AI readiness trainings, upskilling programs, and continuous improvement initiatives as part of Smartsourcing's innovation and learning culture.
- Proactively identify opportunities for process improvement through automation, digitization, and responsible AI integration within their scope of work.
Qualifications:
- Bachelor's degree in Finance, Accounting, Business Administration, Business Analytics, Data Analytics, or related field preferred.
- 6 months to 1 year of experience in finance administration, data entry, reporting support, business analysis support, or related administrative roles preferred
Tools:
- Microsoft Excel, Google Sheets, Gmail, Google Docs, finance or ERP systems, reporting templates, and digital workplace tools.
