Sales Operations Manager (HubSpot Specialist)

About the Role
Our client is a fast-growing business lending firm looking for a data-driven Sales Operations Manager to own their entire CRM ecosystem. You will work during Australian business hours to support a sales team that funds small-to-medium enterprises.
You will not make sales calls. Instead, you will be the engine room—optimizing workflows, ensuring data integrity, and automating repetitive tasks so the sales team can focus on closing loans.
Key Responsibilities
1. CRM Ownership (HubSpot)
- Serve as the sole administrator and gatekeeper of the entire HubSpot CRM.
- Manage user permissions, properties, deal stages, and pipeline hygiene.
- Ensure all loan application data is accurately tracked from lead to settlement.
2. Reporting & Analytics
- Produce weekly sales reports covering key metrics: lead volume, conversion rates, loan application velocity, and broker performance.
- Build custom dashboards for management to forecast weekly funding targets.
3. Automation & Efficiency
- Design and implement automated workflows (e.g., lead routing, task assignment, follow-up triggers, document collection reminders).
- Identify bottlenecks in the business loan origination process and solve them via automation.
- Integrate HubSpot with other lending tools (e.g., underwriting platforms, email sequences).
4. Data Quality & Compliance
- Regularly clean and deduplicate CRM data.
- Ensure compliance with lending regulations regarding data handling.
5. Sales Support (No Calls)
- Assist the sales team with CRM troubleshooting, template creation, and playbook documentation.
- Collaborate remotely with the Australian sales team during their working hours.
What You Will NOT Do
- Make or receive sales calls.
- Prospect for new loan clients.
- Negotiate loan terms with borrowers.
Requirements (Must-Haves)
- HubSpot Expertise: Proven experience as a HubSpot CRM administrator (workflow automation, reporting, deal pipelines).
- Analytical Mindset: Ability to turn raw loan data into actionable weekly sales reports.
- Process Automation: You have built automated sales sequences or task-routing systems before.
- Availability: Can work full-time during Australian Eastern Standard Time (AEST) hours.
- Language: Excellent written English for documenting processes.
Nice-to-Haves (Bonuses)
- Experience in fintech, business lending, or banking operations.
- Familiarity with Zapier, Make, or similar integration tools.
- Previous experience supporting a sales team behind the scenes.
