Purchasing Associate

Purchasing and Procurement:
- Assist in sourcing products, materials, and services based on company needs.
- Process purchase orders (POs) and maintain accurate records in the procurement system.
- Obtain and evaluate quotations from multiple suppliers to ensure competitive pricing.
- Monitor supplier performance to ensure compliance with quality, delivery timelines, and service standards.
- Follow up on order confirmations, delivery schedules, and issue resolution.
Vendor and Supplier Relations:
- Build and maintain positive relationships with vendors and suppliers.
- Resolve any discrepancies or issues related to orders, shipments, or invoices.
- Assist in negotiating contracts and terms with suppliers under the guidance of the Purchasing Manager.
Inventory Management:
- Monitor stock levels and track inventory to avoid shortages or overstocking.
- Coordinate with warehouse staff to ensure accurate stock records.
- Generate reports on inventory trends and suggest order quantities when necessary.
Administrative Support:
- Maintain accurate procurement documentation, including purchase orders, contracts and supplier records.
- Prepare and distribute procurement reports to stakeholders.
- Process invoices and ensure they match purchase orders and delivery notes.
- Handle data entry and maintain procurement software databases.
Compliance and Process Improvement:
- Ensure purchasing activities align with company policies and regulatory requirements.
- Assist in identifying opportunities for cost savings and process improvements.
- Support procurement audits and documentation requests.
Preferred Education and Experience
- Degree in Business, Supply Chain Management, or a related field is preferred.
- Proven experience as a Purchasing Assistant, Procurement Clerk, or in a similar role.
- Working experience in Food and Beverage and Hospitality industry is a plus
