Logistics Coordinator

JOB SUMMARY:

The Logistics Coordinator is responsible for overseeing and managing all logistics requirements for both company events and daily office operations, ensuring timely coordination, efficient resource allocation, and smooth execution of logistical activities.

KEY RESPONSIBILITIES:

1.Event and Project Logistics

• Plan, coordinate, and oversee the setup, ingress, and egress of event venues and office-related logistics.
• Manage logistics schedules, delivery timelines, inventory movement, and logistics tracking system for events and projects.
• Ensure event and office assets, equipment, and materials are properly labeled, stored, secured, and transported.
• Support venue preparation, site inspections, and on-site logistics coordination during event days.
• Assist project leads in logistical planning and execution to ensure smooth event operations.

2.Supplier and Vendor Coordination

• Arrange logistics-related services such as printing, fabrication, vehicle rentals, temporary manpower, and equipment transport (couriers/freight).
• Support rate negotiations, monitor service quality, and maintain a supplier and vendor database including contact details, rates, and performance records.
• Track supplier production and delivery timelines to ensure adherence to project schedules.

3.Inventory and Asset Management

• Maintain an accurate records of event and office material, equipment, and supply movements before, during, and after events.
• Monitor stock levels and promptly flag shortages to management for replenishments when necessary.
• Ensure warehouse and storage areas are organized, updated, and compliant with safety standards.

4.Manpower and On-ground Coordination

• Brief personnel, assign tasks, and monitor on-site performance during events.
• Maintain a pool or roster of reliable logistics and event support personnel.

5.Documentation and Reporting

• Prepare and maintain logistic checklists, delivery schedules, and movement logs (purchase orders, invoice, and delivery receipts, if applicable).
• Document event logistics processes through photos, reports, and post-events summaries.
• Assist in liquidation reports and post-event logistics reporting.

6.Internal Support

• Handle general office errands related to logistics and office supply needs.
• Assist with procurement of supplies and equipment needed for events and daily office operations.

7.Other Duties

• Perform other logistics-related tasks and responsibilities as assigned by management or project leads.
