Job Summary
The Business Development Coordinator provides critical operational, administrative, and strategic support to the Business Development team to maximize sales efficiency and drive revenue growth. This role serves as the central hub connecting sales executives, external clients, media agencies, and internal operations.
The ideal candidate manages the availability database for billboard and Digital Out-of-Home (DOOH) assets, prepares compelling sales presentations, drafts commercial proposals, and monitors active campaigns. This position requires an organized professional who can balance meticulous data management with rapid, client-facing communication.
Key Responsibilities
- Assist business development managers in drafting customized sales proposals, rate cards, and presentation decks tailored to specific client briefs.
- Utilize internal tracking systems or mapping tools to identify available media sites that match a client's desired geographic target, demographics, and traffic flow.
- Gather audience metrics to build data-driven cases for why a client should buy specific OOH locations.
- Maintain a real-time, flawless log of all available, booked, and soon-to-be-vacant billboard faces, transit lines, and DOOH screen slots.
- Track client "holds" or temporary options on high-demand locations, ensuring spaces are released or finalized according to company timelines.
- Act as a reliable point of contact for routine client inquiries regarding site availability, sizes, and technical specifications.
- Coordinate the collection of high-quality photos or vides of live billboards/screens and compile "Proof of Performance" reports to send to clients immediately after campaign launch.
- Liaise with clients or media agencies to collect artwork files and ensure they meet exact sizing, resolution, and regulatory compliance standards.
- Route approved creative assets to internal printing, tech, or operations teams to ensure static tarpaulins or digital loops go live on time.
- Coordinate with legal and finance departments to process sales contracts, non-disclosure agreements (NDAs), and billing sheets, paving the way for timely invoicing.
