Intake Specialist

Overview

The Intake Specialist plays a crucial role in facilitating the admission process for patients referred to the

home health agency. This position is responsible for receiving, processing, and verifying patient referrals

from marketers and faxed documents, ensuring timely and accurate intake of new patients. The Intake

Specialist collaborates with healthcare providers, patients, and internal teams to ensure a seamless

transition into home health services..

Responsibilities and Duties

● Receive and process incoming referrals from marketers, physicians, hospitals, and other healthcare

providers.

● Review faxed referral documents for completeness, accuracy, and compliance with agency and

regulatory requirements.

● Verify patient eligibility, insurance coverage, and authorization requirements for home health

services.

● Coordinate with physicians and referral sources to obtain necessary medical orders and

documentation.

● Enter patient data into the electronic health record (EHR) system with a high degree of accuracy.

● Communicate effectively with the clinical and scheduling teams to facilitate timely admission and

care coordination.

● Follow up on missing or incomplete referral information and ensure all necessary paperwork is

obtained.

● Provide excellent customer service to patients, families, and referral sources by addressing

inquiries and providing status updates.

● Maintain compliance with HIPAA and other regulatory requirements.

● Assist with other administrative duties related to patient intake as needed.

Requirements

● Experience using Microsoft Access and Therapy Boss software is required, as these tools are

essential for intake and therapy coordination.

● High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare

administration or a related field preferred.

● Previous experience in healthcare intake, admissions, or medical office administration is strongly

preferred.

● Knowledge of medical terminology, insurance verification, and home health regulations is a plus.

● Proficiency in Microsoft Office and Google Suite and experience with EHR systems.

● Strong organizational skills with attention to detail and accuracy.

● Excellent verbal and written communication skills.

● Ability to multitask and work efficiently in a fast-paced environment.
