Remote Dispatcher

Summary

We are seeking a highly organized and proactive remote Dispatcher to coordinate the daily schedules and logistics of our field technicians. The Dispatcher will optimize technician schedules, maximize job density across service territories, and help field teams stay focused on completing inspections and testing.

In this position, you'll serve as a central point of contact for 20+ field technicians, working closely with the Technician Supervisor, Project Coordinating team, laboratories, and administrative staff. You'll coordinate daily schedules, respond to real-time field issues, arrange vehicle and equipment maintenance, and manage courier routes to support efficient field operations.

The ideal candidate is organized, detail-oriented, comfortable working in a fast-paced environment, and able to make practical decisions when schedules or field conditions change.

What You'll Do

• Manage and optimize the daily dispatch schedule across San Diego and the Quad-County service areas.
• Coordinate technician assignments based on location, availability, workload, job requirements, and estimated service times.
• Work closely with the Technician Supervisor to balance operational requirements with technician schedules, availability, and time-off requests.
• Monitor schedules throughout the day and make real-time adjustments for cancellations, delays, site access issues, scheduling conflicts, and other unexpected changes.
• Serve as a primary point of contact for field technicians regarding scheduling, routing, site access, and logistical issues.
• Proactively coordinate vehicle and equipment maintenance to maintain fleet readiness while minimizing disruption to technician schedules.
• Manage the daily Courier route to reduce unnecessary travel and administrative errands for field technicians.
• Coordinate sample drop-offs at laboratories and the delivery of supplies, equipment, and gear between the shop and field locations.
• Apply knowledge of service-specific time-to-complete requirements to create realistic schedules and prevent overbooking.
• Identify opportunities to improve routing, reduce unnecessary mileage, and increase technician productivity.
• Use CRM systems, scheduling platforms, and automation tools to maintain accurate assignments and facilitate client and technician notifications.
• Monitor scheduled jobs and proactively identify potential bottlenecks before they impact clients or field teams.
• Communicate schedule changes and operational updates clearly and promptly to technicians, supervisors, clients, and internal teams.
• Maintain accurate dispatch, scheduling, maintenance, and logistical records.
• Support continuous improvement of dispatch processes, routing strategies, and field operations.

Requirements

• Minimum 2 years of experience in dispatching, scheduling, logistics, field operations, project coordination, or a related role.
• Strong ability to organize tasks geographically and chronologically and create efficient schedules across multiple service areas.
• Experience coordinating multiple employees, vehicles, appointments, or field-based activities simultaneously.
• Excellent organizational and multitasking skills, with strong attention to detail.
• Strong problem-solving skills and the ability to make timely decisions in a fast-paced environment.
• Ability to anticipate scheduling conflicts, identify operational bottlenecks, and develop practical solutions.
• Excellent verbal and written communication skills.
• Ability to work effectively with field technicians, supervisors, clients, laboratories, and internal teams.
• Ability to balance operational efficiency with technician availability, workload, and scheduling needs.
• Proficiency with Microsoft Office, CRM platforms, scheduling systems, and other business software.
• Comfortable using digital calendars, maps, routing platforms, and visual scheduling tools.
• Ability to learn company-specific services and understand estimated service times to build accurate schedules.
• Strong ability to manage changing priorities while maintaining accuracy and meeting deadlines.
• Proactive approach to improving efficiency and resolving operational challenges.
• English proficiency at B2 level or above.
• Proven remote work experience with a dedicated home office setup, reliable computer, quality headset, and stable internet connection.

Preferred Qualifications

• Experience dispatching field technicians, inspectors, service professionals, or other mobile teams.
• Experience in environmental testing, construction, facilities, maintenance, home services, or another field-service environment.
• Experience with CRM automation, conditional workflows, or automated scheduling and notification systems.
• Experience coordinating vehicle or equipment maintenance.
• Experience coordinating courier, delivery, or sample transportation logistics.
