SALES ASSISTANT

Job Description
We are looking for a highly organized and proactive Sales Assistant to support day-to-day sales operations in a fast-paced agricultural production and distribution environment. This role plays a key part in ensuring smooth coordination between clients, sales, production, and logistics teams.
Responsibilities:
Sales Coordination & Order Processing
- Assist in preparing and processing quotations, sales orders, invoices, and delivery documents
- Coordinate customer orders with production, harvesting, and delivery teams to ensure accurate and timely fulfillment
- Monitor order status and provide regular updates to clients and internal departments
- Maintain and update customer databases, sales records, and transaction histories
- Support the Sales Manager in tracking daily, weekly, and monthly sales performance and reports
Customer Service & Client Communication
- Handle customer inquiries via phone, email, and messaging platforms in a timely and professional manner
- Coordinate with clients regarding order status, deliveries, payments, and after-sales concerns
- Ensure excellent customer service by maintaining clear, consistent, and professional communication
- Assist in resolving basic client concerns and escalate complex issues to the Sales Manager when needed
Administrative & Documentation Support
- Organize, encode, and maintain all sales-related documents and files accurately
- Prepare internal reports, presentations, and sales summaries as required
- Assist in scheduling meetings, client visits, and delivery arrangements
- Ensure completeness and accuracy of all sales and operational documentation before filing
Inventory & Operations Coordination
- Liaise with production and warehouse teams to confirm product availability
- Monitor pending orders, delivery schedules, and stock movement related to sales activities
- Ensure proper coordination of order quantities and dispatch documentation
Job Requirements:
- Bachelor’s Degree in Business Administration, Marketing, Management, or any related field
- Experience in sales support, customer service, logistics coordination, or administrative roles is an advantage
- Strong communication and interpersonal skills, both written and verbal
- Proficient in Microsoft Office (Excel, Word) and Google Workspace tools
- Excellent organizational skills with strong attention to detail and accuracy
- Ability to multitask, prioritize, and work effectively under pressure in a dynamic environment
- Willingness to work on-site in Sogod, Cebu
