Logistics/Purchasing Assistant

The Purchasing / Procurement Assistant is responsible for handling all company requisitions and purchases, ensuring cost efficiency, timely delivery, and proper documentation. The role also includes coordinating with suppliers, brokers, and government agencies, as well as arranging travel and accommodation for field personnel.
Key Responsibilities:
- Handle all requisitions and purchases, including but not limited to:
- Office supplies, equipment, and furniture
- Transportation services, hotel accommodations, and air-conditioning services
- Company forms and consumable products
- Equipment insurance (Marine, EEI)
- Systems maintenance services
- Procurement of spare parts
- Vehicles and related insurance
- Ensure all purchase requisitions are properly canvassed and that at least three (3) supplier quotations are obtained to secure the best price before endorsement for approval.
- Monitor and verify deliveries of supplies, parts, equipment, and all other orders for completeness, accuracy, and timeliness.
- Secure, maintain, and properly file all pertinent documents related to importation and purchases from suppliers and brokers.
- Coordinate with suppliers, brokers, and Bureau of Customs personnel regarding shipment release and delivery.
- Arrange travel and accommodation bookings for field personnel; prior experience in this function is required.
Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field
- At least 1–2 years of experience in purchasing or procurement (importation experience is an advantage)
- Strong negotiation and communication skills
- Knowledge of procurement processes, documentation, and supplier coordination
- Highly organized with strong attention to detail
