About the Company

Our client is a Queensland-based sleep health practice specialising in the diagnosis and management of sleep-disordered breathing and related sleep conditions. They run sleep studies, PAP therapy reviews and setups, machine recommendations following clinical review, mask fitting, Rhinomanometry, and equipment rental and servicing, alongside ongoing patient support.



What stands out is how practical their care is. Most of their sleep studies are self-setup — the patient comes in for a 40-minute consultation and is shown how to set themselves up at home — with in-clinic therapist setups available for those who need them. That tells you something about how this practice thinks: give people the tools and the confidence, then support them properly.

About the Role

You are the first voice a patient hears. Someone who has not slept properly in years picks up the phone, and how that call goes decides whether they book a study or give up on getting help. That is this job's centre of gravity — answering calls with warmth and competence, booking the right appointment on the right pathway, and making sure the referral and the paperwork are in order before anyone turns up.



The second half of the role is quieter and just as important. You take day-to-day ownership of the practice's

ActiveCampaign account: logging in each morning, working through the scheduled patient follow-up tasks, making the calls, recording every outcome accurately, and flagging the patients who need more than a follow-up. This is not a role where you wait to be told what today looks like. ActiveCampaign tells you, and you work it.

When patient admin and scheduled calls are clear, you schedule approved social content and build simple on-brand graphics. Genuine variety, not filler.



On the schedule, because it matters. This is a day shift, Monday to Friday, aligned to Australian Eastern Standard Time in Queensland — which means an early start and an early finish in Manila, and no graveyard shift at any point. Weekends are yours. If you have left an offshore role because the hours were quietly wrecking you, read that again.



Responsibilities

• Answer and manage incoming patient calls as the practice's first point of contact, handling enquiries about services, referrals and fees, and escalating clinical questions to the appropriate practice staff
• Book, reschedule and cancel appointments across sleep studies, PAP therapy reviews, PAP setups and mask fitting, and determine the correct setup pathway — self-setup or in-clinic therapist setup — according to practice procedure
• Process and record GP referrals, confirming the required information is present before a study or appointment is confirmed
• Maintain accurate patient records, notes and documentation in the practice management system, under strict confidentiality and privacy obligations
• Prepare and send the approved doctor letters confirming a booked sleep study or advising when an appointment could not be arranged, and process late cancellation or rescheduling fees in line with practice policy
• Take day-to-day ownership of the practice's ActiveCampaign account: review scheduled tasks daily, complete assigned follow-up calls and campaign sequences, record every patient contact outcome, and escalate patients needing further assistance
• Schedule and publish approved social media content and create simple on-brand graphics once patient administration and call duties are complete

What You'll Bring

• One to three years in medical administration, a healthcare VA role, or medical reception
• Spoken English clear, warm and natural enough to hold a confident phone conversation with Australian patients — the single most important requirement in this role
• Experience in a practice management or clinic booking system; this practice runs Zanda, formerly Power Diary
• Experience with ActiveCampaign or a comparable CRM and marketing automation platform, including scheduled tasks, contact records and campaign workflows
• Real discipline around patient confidentiality and privacy
• The judgement to work independently inside established procedures — and to recognise the moment something needs escalating rather than improvising
• Accuracy under repetition: referrals, notes and contact outcomes recorded properly every time, not most of the time

Nice to have: hands-on Zanda and ActiveCampaign experience, familiarity with Australian healthcare administration or Medicare processes, and basic Canva or equivalent for simple social graphics.

PHP 25,000 a month for a part-time engagement sits well above what the Philippine market pays for part-time medical administration, and it comes with prepaid HMO and paid leave — both unusual on a part-time remote engagement, and neither of which you should treat as standard.
• The room to grow. The practice has started this role at 20 hours with the stated intention of increasing them as demand grows. You are not filling a slot. You are the person with first claim on the role as it expands.
• And the work itself is real work. You will own an ActiveCampaign account rather than just execute inside it, and you are expected to suggest improvements to the follow-up processes and campaign workflows you run. Those suggestions get heard.
