CRM & Medical Admin (Active Campaign/Work from Home)

Our client is an established sleep health practice in Australia, operating for over a decade. They provide sleep health assessments, treatment, and ongoing support, with accessible care options for patients.

They are hiring a part-time CRM & Medical Admin  to work from the Philippines, through Go Ignite, an Australian-founded group that places Philippine-based professionals with established businesses across Australia, New Zealand, the UK, the US and Canada. 

Day to day the role splits in two. The front half is patient contact: answering calls, booking sleep studies and CPAP reviews, handling referrals, replying to enquiries. The back half is systems: keeping the practice management software accurate and keeping the CRM doing real work — reminders, recalls, follow-up sequences, a clean enquiry pipeline.

• Answer patient calls warmly and professionally, and respond to email and online enquiries the same day
• Book, reschedule and manage appointments across consultations, sleep studies and CPAP reviews
• Process GP referrals and chase the ones that arrive incomplete
• Keep patient records accurate and clean in the practice management system
• Run reminder, recall and follow-up sequences out of the CRM and keep enquiry lists segmented
• Track enquiries so no prospective patient goes without a response, and support invoicing and payment follow-up
• Propose automations for the admin tasks currently done by hand each week

• Three (3) years in medical administration, medical reception, or a healthcare virtual assistant role
• Hands-on experience with any practice management or clinic booking system — Zanda/Power Diary, Cliniko, Halaxy, Gentu, Nookal or comparable. The platform matters less than having genuinely run one
• Hands-on experience with any CRM and its automations — ActiveCampaign, HubSpot, GoHighLevel, Keap, Mailchimp or similar
• Spoken English an Australian patient understands easily, with a warm, unhurried phone manner
• A careful hand with confidential patient health information
• Judgement to work unsupervised on Australian hours and know when to escalate
• Reliable high-speed internet and a dedicated, quiet home office setup

• Experience supporting an Australian healthcare, allied health or specialist practice
• Familiarity with Medicare or bulk-billing workflows
• Exposure to sleep medicine, respiratory or diagnostics
• Confidence in Canva for simple patient-facing material

• Own the whole patient journey, not a slice of a queue
• Small team — suggest an improvement and talk to the person who can approve it
• Genuine day shift on Australian hours, weekends off
• 20 hours a week leaves the rest of your day your own
• Scope to increase hours as the practice grows

• PHP 25,000 per month with Performance Bonus
• Part-time ongoing independent contract, 20 hours per week, with potential to increase
