1. Sales Coordination & Support
Assist the Sales Team in preparing quotations, proposals, and cost estimates.
Coordinate with clients regarding inquiries, requirements, and project updates.
Ensure timely submission of documents for bidding, accreditation, and project requirements.
Monitor and track all sales activities from inquiry to project closure.
Maintain and update a centralized monitoring system for all ongoing and prospective projects.
Follow up with clients regarding proposals, approvals, and purchase orders (PO).
Coordinate with internal teams (Operations, Engineering, Procurement) for project updates and requirements.
Ensure proper documentation and record-keeping of all client transactions. 3. Documentation & Compliance
Prepare and manage necessary documents such as quotations, billing, delivery receipts (DR), and sales invoices (SI).
Assist in vendor/client accreditation requirements (e.g., PCAB, DOLE, BIR, permits).
Ensure completeness and accuracy of submitted documents.
Maintain organized digital and physical filing systems. 4. Billing & Collection Support
Coordinate with Accounting for billing preparation and submission.
Monitor receivables and assist in follow-ups for collections.
Track down payments (DP), progress billings, and project milestones.
Assist in preparing reports related to sales and collections. 5. Reporting & Monitoring
Prepare daily, weekly, and monthly sales and project status reports.
Maintain updated trackers (projects, clients, accreditation, receivables, and deliverables).
Provide regular updates to management regarding project status, risks, and opportunities. 6. Administrative Functions
Manage schedules, meetings, and client visits for the Sales Team.
Coordinate logistics such as vehicle requests, itineraries, and site visits.
Assist in preparing presentation materials, company profiles, and marketing collaterals.
Handle communication via email, phone, and messaging platforms. 7. Process Improvement & Compliance
Ensure adherence to company policies, SOPs, and reporting standards.
Identify process gaps and recommend improvements for sales operations.
Support implementation of systems and tools for better tracking and efficiency. 8. Customer Service
Maintain strong client relationships through timely and professional communication.
Address client concerns and escalate issues when necessary.
Ensure a high level of customer satisfaction throughout the sales process. Key Competencies :

- Basic knowledge of construction / lighting / project-based sales (advantage)
Proficiency in Excel / Google Sheets and reporting tools
