About the Role

Seamless Assist is hiring a Client Intake & Care Support Coordinator for a home care agency that connects families with trained, background-checked caregivers for personal care, companionship, and post-surgical support. This is the person who makes sure every family in need gets a fast, warm response following up quickly, keeping schedules on track, and supporting the administrative side of the business so leadership can stay focused on care.

Leads come in constantly, and the difference between winning and losing a family's business often comes down to who responds first. You'll own that response — fast, warm, organized follow-up from first contact through booking — plus scheduling support and light billing and compliance work behind the scenes.

What You'll Do

• Monitor incoming leads and respond within minutes of a new inquiry.
• Run a structured multi-touch follow-up cadence — call, text, and email — over the first two weeks after contact, so no lead goes cold.
• Book qualified leads into the team's calendar for calls and in-home visits.
• Handle ongoing follow-up touches with existing leads and clients, always with empathy — many are making a hard decision about a loved one's care.
• Manage rescheduling requests and keep the calendar accurate and up to date.
• Support recurring billing, invoicing, and compliance reporting, and keep records organized.
• Operate within a secure, access-controlled account, following HIPAA-compliant handling of client and health information.

What We're Looking For

Required:

• 2+ years of experience in a healthcare-adjacent, caregiving, or medical administration role (geriatric or cardiology-related experience is a plus).
• Strong written and verbal communication in English.
• Comfortable working without AI tools day-to-day — this role does not use AI on any client- or health-related task, in line with HIPAA and compliance requirements.
• Able to work Eastern Time (US) business hours, with strong availability from late morning through early evening.
• Warm, unhurried phone presence, even when juggling multiple leads and follow-ups at once.
• Comfortable with detail-heavy, recurring admin work, with accuracy that doesn't slip under a steady pace.

Preferred:

• Bilingual in English and Spanish, written and spoken.
• Prior experience with lead follow-up or intake coordination, ideally in home care, healthcare, or a related service business.
• Familiarity with lead or referral management platforms.
• Comfort handling billing, invoicing, and recurring compliance paperwork.
