Job Title: Commissary Admin Assistant
Reports To: Commissary Manager and Logistics & Inventory Manager
Remarks: Willing to Stay-In
Job Overview:
The Commissary Admin Assistant is responsible for providing administrative and clerical support to ensure the smooth and efficient operations of the commissary. This role includes managing daily transactions, coordinating with branches and suppliers, updating records, processing purchases, and maintaining strong logistics and vendor relations.
Responsibilities and Duties:
- Prepare and maintain a daily summary of commissary transactions
- Check, track, and encode all submitted forms and receipts on a daily basis
- Respond to inquiries from branches via phone and messenger in a timely and professional manner
- Ensure that each branch’s receiving form matches the encoded data in the billing system
- Regularly update the price list and master list for both the commissary and stores
- Place orders to suppliers for stocks and raw materials based on inventory needs
- Maintain good working relationships with suppliers, couriers, and other logistics contacts to ensure smooth operations
- Coordinate with logistics partners to track deliveries and resolve shipment issues promptly
- Coordinate and resolve issues with vendors regarding shipments, billings, and statements
- Monitor expenditures and process payment requests for reimbursements
- Prepare purchase orders and requisitions, ensuring all supplier payments follow company procedures
