Position Summary:
The Purchasing/Accounting Assistant supports both the procurement and accounting functions of the company. This role is responsible for assisting in the purchase of goods and services, maintaining accurate financial records, processing invoices, and ensuring timely payments. The ideal candidate is detail-oriented, organized, and able to manage multiple tasks while adhering to company policies and procedures.
Key Responsibilities:
Purchasing Duties:
- Assist in sourcing suppliers and obtaining competitive quotes for goods and services.
- Prepare purchase orders and ensure proper approvals before issuance.
- Track and monitor purchase orders, deliveries, and inventory levels.
- Maintain accurate records of suppliers, orders, and payments.
- Assist in resolving discrepancies in invoices, deliveries, or orders.
- Ensure compliance with company procurement policies and procedures.
Accounting Duties:
- Process supplier invoices and ensure accuracy before payment.
- Assist in reconciling accounts payable and other financial records.
- Maintain financial documentation in accordance with company policy.
- Assist with month-end closing, including journal entries and ledger updates.
- Prepare reports related to expenses, purchases, and financial transactions.
- Coordinate with internal departments to resolve accounting or purchasing issues.
