Admin and Customer Support (Permanent Dayshift, Remote/WFH-Philippines)

Job Title: Customer Service & Support Administrator

Employment Type: Part-time (Remote) | 20 hours a week

Rate: $8AUD/hour

About the Role:

Our client is looking for a proactive and detail-oriented Customer Service & Support Administrator to provide exceptional customer service while supporting the sales and operations teams. This role is responsible for managing customer communications, processing orders, maintaining CRM records, preparing quotations and invoices, coordinating marketing activities, and providing general administrative support. The ideal candidate is highly organized, customer-focused, and comfortable working with multiple business systems in a fast-paced environment.

Key Responsibilities

Customer Service

· Answer incoming phone calls and respond to customer email inquiries in a professional and timely manner.

· Provide accurate product and order information to customers.

· Resolve customer inquiries or escalate issues when necessary.

Sales Administration

· Prepare and send customer quotations.

· Generate and issue pro forma invoices.

· Generate and issue tax invoices as required.

· Process customer orders in Xero based on orders received through Shopify .

· Ensure orders are processed accurately and within established timeframes.

CRM & Marketing Support

· Maintain accurate and up-to-date customer records in HubSpot .

· Create, schedule, and send marketing email campaigns using HubSpot .

· Assist in maintaining customer databases and supporting sales and marketing initiatives.

Administrative Support

· Attend internal meetings, take accurate meeting minutes, and distribute them to relevant stakeholders.

· Maintain organized records and documentation.

· Provide administrative assistance to the team as required.

· Perform other duties and ad hoc tasks assigned by management from time to time.

Qualifications & Experience

· Previous experience in customer service, sales support, or administrative roles.

· Experience using Xero (required).

· Experience with HubSpot CRM and email marketing (preferred).

· Experience processing orders from Shopify (preferred).

· Excellent verbal and written communication skills.

· Strong organizational skills with exceptional attention to detail.

· Ability to prioritize multiple tasks and meet deadlines.

· Proficiency in Microsoft Office or Google Workspace.

· Ability to work independently in a remote environment while collaborating effectively with the team.
