Procurement Assistant – Job Description
Assignment: Gapan, Nueva Ecija – Solar Farm Project
Key Responsibilities:
- Assist the Procurement Engineer in the purchasing of materials, equipment, tools, and services required for the project.
- Prepare and process Request for Quotations (RFQs), Purchase Orders (POs), and other procurement documents .
- Coordinate with suppliers and subcontractors regarding quotations, pricing, availability, and delivery schedules .
- Request and compare supplier quotations and prepare quotation comparison sheets .
- Follow up on purchase orders, material deliveries, and outstanding procurement requirements .
- Maintain and update the procurement tracker and supplier database.
- Coordinate with the Site Team, Engineering, Planning, Warehouse, Finance, and Procurement Engineer regarding material requirements.
- Ensure that procurement documents are properly filed, recorded, and updated .
- Monitor the status of materials and identify potential delivery delays or shortages .
- Assist in checking supplier documents, delivery receipts, invoices, and other supporting documents.
- Assist in preparing weekly procurement status reports for management.
- Perform other procurement-related tasks assigned by the Procurement Engineer or Project Manager .
Required Software / Technical Skills
- Microsoft Excel – procurement tracking, quotation comparison, and reports.
- Microsoft Word – preparation of purchase and procurement documents.
- Microsoft Outlook – supplier and internal coordination.
- SAP / ERP or Procurement System – experience is an advantage.
- Microsoft Project / Primavera P6 – basic knowledge is an advantage for monitoring procurement schedules.
Preferred Qualifications
- Bachelor's Degree in Business Administration, Supply Chain Management, Engineering, Accounting, or any related course .
- At least 1 year of experience in procurement, purchasing, or administrative support ; construction or renewable energy experience is an advantage.
- Knowledge of RFQs, purchase orders, supplier coordination, and quotation comparison .
- Proficient in Microsoft Office, particularly Excel .
- Good communication, organizational, negotiation, and follow-up skills .
- Detail-oriented and able to manage multiple procurement requirements.
- Willing to be assigned on-site in Gapan, Nueva Ecija .
