PR & Activations Account Associate (1x a week Onsite, 4 days WFH) - #35270

Location: Hybrid - 4 days WFH and 1 day onsite every Wednesday

Overall purpose and responsibilities of the role:

As a PR & Activations Account Associate, you are responsible for planning, coordinating, and executing integrated PR campaigns, brand activations, events, and seeding initiatives. You will manage multiple projects simultaneously, coordinate with clients, partners, suppliers, and internal teams, and ensure seamless execution across all campaign touchpoints.

Duties and Responsibilities:

Activation Management

· Support the development and execution of integrated PR, influencer, and activation campaigns from planning through post-campaign reporting

· Assist in translating client briefs into actionable plans, timelines, and deliverables

· Contribute insights and recommendations to strengthen campaign concepts and execution strategies

· Support the planning and execution of brand events, media engagements, launches, experiential activations, and other PR initiatives

· Anticipate potential project risks, identify solutions, and escalate concerns when necessary

· Provide on-ground support during activations, including ingress, event proper, and egress

Account Management

· Serve as a day-to-day point of coordination for clients, ensuring timely updates, responses, and follow-through on action items

· Prepare client-facing materials including deployment decks, status updates, timelines, reports, and presentations

· Participate in client meetings, take detailed meeting notes, and distribute contact reports and action trackers

· Ensure client requirements, feedback, and approvals are accurately communicated to internal teams and external partners

· Maintain strong working relationships with clients through proactive communication and reliable project management

Vendor Management

· Coordinate with multiple external stakeholders including suppliers, venues, fabricators, production partners, media, KOLs, talent, couriers, and event vendors

· Source, negotiate, and manage vendors to ensure quality, efficiency, and budget alignment

· Monitor vendor deliverables, production schedules, and timelines to ensure project requirements are met

· Facilitate communication between internal teams and external partners to keep projects moving efficiently

Operational Assistance

· Develop and maintain detailed project timelines, trackers, and status reports

· Coordinate schedules across internal teams, clients, and suppliers to ensure smooth project execution

· Monitor project progress and follow up proactively on pending deliverables and approvals

· Maintain organized project documentation, contracts, quotations, supplier information, and campaign files

· Assist in post-campaign reporting, documentation, and project closeout requirements

Budget and Finance Coordination

· Assist in monitoring project budgets and expenses

· Coordinate supplier quotations, costing comparisons, purchase requests, and budget tracking

· Support vendor negotiations to maximize budget efficiency while maintaining quality standards

· Ensure proper documentation and reconciliation of project expenses

Requirements

Must-have Skills / Qualification:

· Bachelor’s degree in Communications, Public Relations, Marketing, or a related field

· 1–2 years of experience in public relations, events, activations, account management, or a related role

· Hands-on experience working on consumer-facing events, brand partnerships, takeovers, and other brand activation initiatives

· Proven experience in event coordination, with the ability to develop creative ideas and translate concepts into effective event and activation executions

· Experience in vendor management, including coordinating with suppliers, venues, production partners, and other external stakeholders

· Strong negotiation and coordination skills, with experience sourcing quotations, comparing costs, negotiating with suppliers, and cascading requirements to relevant stakeholders

· Excellent written and verbal communication skills

· Dependable team player who thrives in a fast-paced environment

· Strong problem-solving skills with a strategic and proactive mindset

Advantageous Skills:

· Experience working in FMCG industry clients

· Established network of suppliers, venues, production partners, or other event-related contacts is an advantage
