Business Process Analyst

Role Purpose

The Business Process Analyst is responsible for helping VargasAndrews understand, document, improve, standardize, and govern how work is performed across the organization.

The role will independently work with process owners and subject-matter experts across different functions to discover how work is currently performed, identify gaps and inefficiencies, develop clear process documentation, and recommend practical improvements.

A key objective is to establish reliable business processes that are clearly documented, assigned to appropriate owners, maintained through proper governance, and assessed for future automation or AI opportunities where these provide a practical solution to a business problem.

This is not primarily an AI development role. The successful contractor should understand automation and AI capabilities well enough to identify opportunities, define business requirements, and work effectively with AI, automation, and other technical specialists.

Key Responsibilities

Process Discovery & Documentation

• Conduct discovery sessions with process owners and subject-matter experts to understand how work is actually performed.
• Independently identify undocumented, unclear, or inconsistently performed business processes.
• Document current-state processes, including activities, decision points, roles, systems, inputs, outputs, dependencies, controls, and handoffs.
• Develop and maintain SOPs, checklists, manuals, process maps, workflow documentation, and related operating documents.
• Translate complex or informal working practices into clear, practical documentation that can be understood and followed by others.
• Establish or recommend an appropriate business process register, documentation structure, and process repository.
• Organize existing process documentation and identify missing, duplicate, outdated, or conflicting materials.

Process Analysis & Improvement

• Analyze existing workflows to identify unnecessary steps, duplication, bottlenecks, unclear ownership, control gaps, and inefficient handoffs.
• Look beyond how a process has historically been performed and determine whether there is a more effective way to achieve the intended business outcome.
• Facilitate AS-IS and TO-BE process discussions with relevant stakeholders.
• Conduct root-cause analysis to distinguish underlying process problems from symptoms.
• Recommend practical process improvements based on business needs, risks, available resources, and expected outcomes.
• Help determine whether activities are assigned to the appropriate function and process owner.
• Support implementation and adoption of approved process improvements.
• Establish appropriate measures or indicators to determine whether process improvements are producing the intended results.

Process Governance

• Establish clear ownership and accountability for documented processes.
• Develop and maintain appropriate documentation standards, version control, approval records, review dates, and change histories.
• Coordinate scheduled process and documentation reviews with process owners.
• Follow up with relevant stakeholders to ensure documentation remains accurate and current.
• Identify outdated, duplicate, incomplete, or conflicting process documentation.
• Recommend and help establish an appropriate process governance framework for the organization.
• Maintain visibility over the status, ownership, maturity, and improvement opportunities of key business processes.

AI & Automation Enablement

• Assess business processes for appropriate automation and AI opportunities.
• Distinguish between problems that require process improvement and those where technology, automation, or AI may provide additional value.
• Identify processes that should be standardized or improved before automation is considered.
• Document business requirements, decision rules, exceptions, dependencies, data requirements, and human decision points relevant to potential automation.
• Develop future-state workflows with guidance and input from relevant process owners.
• Work with AI, automation, IT, and other technical specialists to translate business processes into clear implementation requirements.
• Support testing, validation, documentation, and adoption of approved automation initiatives.
• Use AI tools appropriately to support process discovery, analysis, documentation, research, and productivity.

Advanced AI development, software engineering, or building complex AI agents is not a core requirement of this role.

Cross-Functional Coordination, Reporting & Special Projects

• Coordinate cross-functional process and operational improvement initiatives.
• Work with stakeholders across different functions and levels of seniority to obtain information, resolve process gaps, and move agreed actions forward.
• Maintain project plans, action registers, process trackers, documentation, reports, and follow-up activities as required.
• Prepare management reports, process summaries, recommendations, and presentations.
• Support special projects requiring structured analysis, documentation, coordination, reporting, and follow-through.
• Perform administrative activities connected to process governance, documentation, reporting, and project delivery.

Required Experience & Capabilities

• 5+ years of relevant professional experience, with demonstrated experience in Business Process Analysis, Process Improvement, Process Excellence, Continuous Improvement, Business Transformation, Operations Excellence, or a closely related discipline.
• Experience working in BPO, outsourcing, shared services, consulting, professional services, or another cross-functional service environment is strongly preferred.
• Demonstrated ability to independently conduct process discovery and stakeholder interviews.
• Strong experience developing SOPs, process maps, workflows, checklists, manuals, or similar process documentation.
• Experience documenting and analyzing AS-IS and TO-BE processes.
• Demonstrated ability to identify root causes, inefficiencies, bottlenecks, duplication, unclear ownership, and process-control gaps.
• Strong analytical and structured problem-solving capability.
• Ability to challenge existing practices constructively rather than simply documenting how work has historically been performed.
• Strong stakeholder management and facilitation skills, including the ability to influence without direct authority.
• Excellent written and verbal English communication skills.
• Strong organizational skills and attention to detail.
• Ability to independently manage multiple processes, stakeholders, and documentation requirements.
• Comfortable working in a remote, international, and cross-functional environment.
• Strong working knowledge of Microsoft Excel and common business productivity tools.

Education

A bachelor's degree in Industrial Engineering, Management Engineering, Business Administration, Operations Management, Information Systems, or another relevant discipline is preferred.

Industrial Engineering and Management Engineering backgrounds are particularly relevant when combined with professional experience in business process analysis, process improvement, process excellence, shared services, BPO, outsourcing, consulting, or other service-based environments.

Preferred Qualifications

• Lean Six Sigma Yellow Belt, Green Belt, or similar process-improvement training or certification.
• Experience with Visio, Lucidchart, Miro, Signavio, or similar process-mapping tools.
• Familiarity with BPMN, SIPOC, Value Stream Mapping, Lean, Six Sigma, root-cause analysis, or related process-improvement methodologies.
• Experience establishing or maintaining process libraries, SOP repositories, document-control systems, or process registers.
• Experience with Power BI or other reporting and visualization tools.
• Basic practical exposure to Power Automate, Make, Zapier, or similar low-code/no-code automation platforms.
• Experience using ChatGPT, Claude, or similar AI tools to support business analysis, documentation, process improvement, or automation.
• Experience supporting U.S. or other international stakeholders.

The successful contractor will not simply produce documentation. They will be expected to understand why a process exists, what business problem it is intended to solve, whether the current approach remains appropriate, who should own it, and how it can be improved.

Where automation or AI can provide value, the contractor will help prepare the process and business requirements so that appropriate technical specialists can design and implement the solution.
