Agency Operations Manager - GoHighLevel Specialist (Remote)
Job Responsibilities:
- Coordinate daily agency operations, communicate with leadership and team members, and monitor task completion and work quality
- Supervise and review social media activities, including content quality, posting schedules, engagement, and brand consistency across Facebook, Instagram, and Google Business Profile
- Administer GoHighLevel (GHL), including contact records, pipelines, call folders, tags, Do Not Solicit settings, and reporting
- Coordinate team communication through Slack, including telemarketing lead transfers, updates, and call gap tracking
- Prepare and distribute daily, weekly, and monthly sales, service, telemarketing, and performance reports using Excel, Google Sheets, and internal reporting tools
- Monitor incoming leads and call activity at scheduled intervals, flag low call volumes, and notify the appropriate team leader
- Track staff attendance, absences, and time off while maintaining accurate internal records
- Coordinate employee onboarding, document collection, compliance renewals, and secure filing of signed documents
- Maintain employee templates, organizational charts, and internal workforce reports
- Coordinate customer referral rewards, prepare weekly agency spotlights, and assist with promotional activities
- Handle administrative coordination, office supply purchases, travel arrangements, and other operational assignments as needed
Qualifications:
- Strong hands-on experience with GoHighLevel (GHL), including contacts, pipelines, call folders, tags, Do Not Solicit settings, and reporting
- Experience reviewing social media accounts and content through administrative platforms such as Meta Business Suite, Instagram, and Google Business Profile
- Strong Excel and Google Sheets skills, including maintaining trackers and preparing recurring reports
- Familiarity with Slack, Canva, and Google Workspace
- Excellent organizational skills, attention to detail, and the ability to manage recurring deadlines
- Clear written communication and proactive follow-up skills
- Ability to monitor performance metrics, identify trends, and escalate operational issues appropriately
