Custodian

Position Summary

The Assistant Property Custodian is responsible for supporting the management, monitoring, safekeeping, and documentation of company assets, equipment, tools, furniture, and supplies. The role ensures accurate inventory records, proper asset utilization, and compliance with company policies regarding property accountability and asset control.

Key Responsibilities

Asset and Inventory Management

• Assist in maintaining an updated inventory of all company-owned assets and properties.
• Record acquisitions, transfers, issuances, returns, and disposals of company assets.
• Conduct regular physical inventory counts and asset verification activities.
• Tag and monitor company equipment, tools, furniture, and other fixed assets.
• Assist in preparing inventory reports and asset status updates.

Property Custody and Control

• Ensure proper storage, handling, and safekeeping of company properties.
• Monitor the issuance and return of equipment, tools, and materials to employees.
• Maintain accountability records for assigned company assets.
• Report lost, damaged, or missing assets and assist in investigations when required.

Documentation and Record Keeping

• Maintain accurate asset records, inventory databases, and filing systems.
• Prepare property acknowledgment receipts, transfer forms, and asset disposal documents.
• Ensure all asset-related documents are properly filed and readily available for audits.
• Assist in reconciling inventory records with physical counts.

Administrative Support

• Coordinate with various departments regarding asset requests, transfers, and returns.
• Support procurement and receiving activities by verifying delivered items against purchase documents.
• Assist in preparing reports for management, auditors, and regulatory requirements.
• Perform other administrative and property management duties as assigned.

Qualifications

• Bachelor's degree in Business Administration, Logistics, Supply Chain Management, Accounting, or a related field.
• At least 1–2 years of experience in inventory management, property custody, warehouse operations, or administrative support is preferred.
• Fresh graduates with relevant internship experience may be considered.
• Knowledge of inventory control procedures and asset management practices.
• Proficient in Microsoft Office applications, particularly Excel.
• Experience with inventory or asset management systems is an advantage.
