Working Hours: Part-Time, approximately 15 hours/week initially, with opportunity to scale

Job Description

We are seeking a hands-on Creator Operations Coordinator to manage a consumer brand’s creator pipeline from sourcing and outreach through content delivery and paid-social activation.

This is an execution-first individual-contributor role. The coordinator will personally source creators, conduct high-volume outreach, negotiate partnership terms and whitelisting rights, coordinate gifting and onboarding, manage content delivery, and secure creator authorization for paid advertising.

The role works directly with a Creative Strategist who defines target creator profiles, writes creative briefs, reviews content, and provides creative direction. This is not a strategy, PR, account-management, social-media-management, or people-management position. We need someone who wants to perform the day-to-day creator work personally.

Key Responsibilities

Creator Sourcing And Outreach

• Source relevant micro- and mid-tier creators across Instagram, TikTok, ShopMy, and similar platforms

• Evaluate creators against established customer profiles, campaign needs, and characteristics shared by previous high performers

• Build and continually expand a qualified creator database

• Personally send dozens of targeted, personalized outreach messages each week

• Manage follow-ups and serve as the primary contact for creators throughout each partnership

• Maintain professional communication across email, Instagram, Facebook, and TikTok

Negotiation And Onboarding

• Negotiate creator rates, deliverables, deadlines, revisions, organic usage rights, and paid-media rights within approved guidelines

• Negotiate Meta Partnership Ads and whitelisting terms, including fees, usage periods, authorization requirements, renewals, and additional paid usage

• Clearly distinguish between organic content rights and paid advertising rights

• Document agreed terms and escalate non-standard requests

• Coordinate contracts, product selections, shipping information, payment details, and creator onboarding

• Manage product gifting and seeding, including shipment tracking and delivery follow-up

• Ensure creators receive and understand the brief, deliverables, deadlines, and usage requirements

Content Delivery And Paid-Social Authorization

• Track content deadlines and follow up before deliverables become overdue

• Collect, organize, and check submitted assets for completeness

• Route content to the Creative Strategist for review

• Communicate feedback, coordinate revisions, and follow through until final approval

• Guide creators through Meta Partnership Ads or whitelisting authorization

• Track partnership-ad codes, account permissions, usage windows, and expiration dates

• Ensure approved content and permissions are properly organized before paid-social activation

Pipeline And Relationship Management

• Maintain the full creator pipeline in Monday.com

• Keep outreach status, rates, deliverables, gifting, deadlines, assets, rights, and authorizations current

• Surface overdue tasks, blocked partnerships, and unresponsive creators early

• Re-engage high-performing creators for repeat campaigns, additional deliverables, and extended usage

• Build a reusable creator roster instead of restarting the search for every campaign

• Use feedback from the Creative Strategist to source more creators who resemble proven performers

• Provide concise updates on outreach, negotiations, content delivery, and authorizations

Qualifications

Required

• 1-5+ years of direct, hands-on experience personally conducting creator outreach, coordination, and negotiation

• In-house experience communicating with creators on behalf of a consumer or DTC brand

• Experience personally sourcing micro- and mid-tier creators through Instagram, TikTok, Facebook, ShopMy, or similar platforms

• Experience conducting high-volume, personalized creator outreach and follow-up

• Experience managing creator partnerships from outreach through content delivery

• Experience negotiating rates, deliverables, deadlines, and usage rights

• Direct, hands-on experience negotiating Meta Partnership Ads or whitelisting terms with creators

• Experience negotiating whitelisting fees, paid-media rights, usage periods, renewals, and extended usage

• Experience personally guiding creators through Meta authorization and securing the required partnership-ad codes or permissions

• Clear understanding of organic content rights versus paid advertising rights

• Experience coordinating contracts, gifting, shipping, onboarding, and content deadlines

• Hands-on experience using Monday.com

• Exceptional written English communication and creator relationship-management skills

• Strong organization and ability to manage multiple creator conversations simultaneously

• Responsive, proactive, and able to work independently

• Willingness to personally perform the role’s daily execution

• Genuine interest in a part-time, fractional position

• Availability for approximately 15 hours per week with regular US business-hours overlap

Preferred

• Experience with TikTok Spark Ads authorization

• Experience using ShopMy, Aspire, GRIN, Insense, LTK, Trybe, TikTok Shop, or similar platforms

• Experience supporting creator content used in paid-social campaigns

• Experience re-engaging successful creators and negotiating repeat partnerships

• Experience using creator performance to improve sourcing and outreach
