Hi! We're Smartsourcing , and we're looking for a sharp, people-savvy Finance Admin to join our team full-time and onsite . You'll keep the financial engine running — accurately, efficiently, and with a client-first mindset.

About the Role

You'll sit at the intersection of finance and operations, supporting day-to-day transactions, client communications, and campaign budget management for fast-moving Australian businesses.

Key Responsibilities

Finance & Accounts Administration

• Enter and process payable and receivable transactions daily
• Process supplier and vendor invoices accurately in Xero and CampaignTrack
• Ensure company accounts are accurate and up to date
• Monitor client balances and provide relevant financial information
• Handle email correspondence and financial enquiries efficiently

Campaign & Budget Management

• Oversee and optimize listings and campaigns on CampaignTrack
• Plan and manage marketing budgets and payment options
• Reconcile actual usage against various campaigns

Client & Stakeholder Communication

• Communicate with clients to facilitate timely payments
• Respond to and follow up on sales and client enquiries
• Liaise with internal teams and attend meetings as needed to support business operations

Compliance & General Administration

• Ensure company policies, administrative processes, and internal controls are followed correctly
• Manage and update data accurately across database applications
• Support the Administration Manager with general admin tasks
• Take on additional administration duties as required

AI Readiness & Digital Enablement

• Use approved AI and digital tools in line with company policies and data privacy standards
• Validate AI outputs and apply professional judgment in all work delivered
• Complete required AI training and proactively identify opportunities to improve processes through automation and smart technology

What You'll Need to Succeed

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field
• At least 1–2 years of experience in finance administration, accounts, or a similar role
• Hands-on experience with Xero or similar accounting software (CampaignTrack experience is a plus)
• Solid proficiency in Microsoft Office, particularly Excel and Outlook
• Strong attention to detail with the ability to manage multiple tasks and deadlines
• Clear written and verbal communication skills in English
• Proactive and able to work independently with minimal supervision
• Familiarity with basic internal controls and accounting processes
