Job Brief

Remotee, through our sister company Recruit Sync, is seeking a highly experienced Senior EA / Head of Operations to support the founder of a growing Australian recruitment business.

This role is ideal for someone who thrives in a fast-paced recruitment environment and enjoys bringing structure, organisation, and operational excellence to a scaling business. You will work closely with the founder, helping manage day-to-day operations, streamline internal processes, coordinate projects, and improve overall business efficiency.

Beyond executive support, you'll play a key role in recruitment operations by assisting with CRM management, client proposals, presentations, contractor onboarding, compliance, KPI reporting, and AI-driven process improvements. You'll be a trusted right hand to the founder, allowing them to focus on business growth while ensuring operations run smoothly behind the scenes.

Mandatory Requirements

• 5+ years of experience as an Executive Assistant, Recruitment Operations Manager, Operations Coordinator, or similar senior support role.
• Previous experience supporting Australian recruitment agencies or professional services businesses is highly preferred.
• Strong understanding of recruitment operations and recruitment workflows.
• Experience using CRM or ATS platforms such as Bullhorn, JobAdder, Atlas, or similar systems.
• Excellent organisational and project management skills with the ability to manage multiple priorities.
• Excellent written and verbal English communication skills.
• Experience preparing client presentations, proposals, reports, and business documentation.
• Confident using AI tools to improve productivity, automate workflows, and enhance operational efficiency.
• High attention to detail with excellent problem-solving skills.
• Proactive, resourceful, and able to work independently with minimal supervision.

Responsibilities

• Provide high-level executive support to the founder, helping organise priorities, schedules, and business operations.
• Prepare meeting briefs by researching clients and providing relevant background information.
• Review and improve internal business processes to increase efficiency.
• Gradually take ownership of the founder's email inbox and manage communications.
• Assist in creating client presentations, shortlist presentations, proposals, and business documentation.
• Identify and implement AI solutions to improve workflows and operational efficiency.
• Coordinate contractor onboarding and ensure all documentation and compliance requirements are completed.
• Maintain compliance relating to client terms of business and recruitment processes.
• Organise business events, meetings, travel arrangements, accommodation, and logistics.
• Conduct client outreach on behalf of the founder to help generate new business opportunities.
• Optimise CRM usage and support improvements across recruitment systems and processes.
• Prepare and present team KPI reports and operational updates.
• Collaborate with internal stakeholders to ensure smooth day-to-day business operations.
