Project Manager

The Project Manager is a full-time, permanent role responsible for managing True Insight's client projects from initial opportunity assessment, scoping, estimating, and proposal development through project delivery and completion.

This remote role works closely with leadership, account management, research, strategy, design, development, digital advertising partners, vendors, and freelance specialists to ensure projects are accurately scoped, realistically estimated, and delivered on time and within budget.

The successful candidate MUST have a marketing, market research, consulting, or marketing agency background and understand how integrated marketing projects are scoped, estimated, resourced, managed, and delivered.

This is not primarily a social media or content coordination role.

Projects include market research and strategy engagements, visual brand identity, websites, creative campaigns, digital advertising creative, and other integrated marketing initiatives.

• Manage marketing and market research projects from internal kickoff through final delivery, ensuring work stays on schedule, within scope, and on budget.
• Build and maintain detailed ClickUp project plans, including tasks, milestones, dependencies, deadlines, budgets, and resource assignments.
• Lead internal kickoffs to align teams on project objectives, deliverables, responsibilities, and timelines.
• Coordinate the day-to-day work of internal teams, freelancers, vendors, and specialists, ensuring clear assignments, timely handoffs, and accountability.
• Manage resource availability, workloads, freelancer hours, costs, and project allocations.
• Monitor progress, anticipate delays, scope changes, and resource conflicts, and proactively resolve or escalate issues.
• Coordinate client inputs, feedback, revisions, and approvals, ensuring required internal quality reviews are completed before delivery.
• Maintain accurate project documentation, status updates, and communication with internal teams and Account Leads.
  

• Review client requests, sales notes, and RFPs to assess requirements, project fit, timelines, budgets, and potential risks.
• Develop scopes of work outlining deliverables, activities, assumptions, exclusions, timelines, and resource requirements across research, strategy, branding, websites, creative campaigns, digital advertising, and recurring marketing initiatives.
• Prepare detailed project estimates, including internal hours, freelancer costs, vendor quotes, and other expenses, validating assumptions with relevant specialists.
• Draft and coordinate proposals and RFP responses, gathering required inputs, supporting materials, and documentation while ensuring accuracy and compliance with submission requirements.
• Prepare scopes, estimates, proposals, and RFP responses for leadership review and approval.
• Coordinate project requirements with Research and Strategy Leads, creative teams, technical specialists, and digital advertising partners to ensure accurate scoping and delivery planning.
• Support Account Leads with routine client communication, outstanding information, timelines, feedback, and approvals.
• Track actual project hours and costs against approved estimates, identifying scope creep, budget variances, and profitability risks.
• Coordinate change-order estimates and provide accurate information for invoicing and profitability reporting.

The Project Manager owns project coordination and delivery, while strategic, creative, research, technical, and media decisions remain with the appropriate Project Lead or specialist.

• Marketing, market research, consulting, or agency experience is REQUIRED.
• 4–8+ years of project management experience within a marketing agency, marketing research firm, consultancy, creative agency, digital agency, or similar environment.
• Proven experience managing internal teams, freelance specialists, vendors, and distributed teams.
• Demonstrated experience developing project scopes, estimates, budgets, and client proposals.
• Experience reviewing or coordinating RFP responses.
• Proven ability to manage multiple integrated marketing projects simultaneously.
• Experience managing projects involving several of the following:
• Market research and strategy
• Visual brand identity and creative campaigns
• Website design and development
• Digital advertising
• Copywriting and content development
• Strong project planning, estimating, budget management, and resource coordination skills.
• Excellent written communication, attention to detail, organization, and proactive problem-solving abilities.
• Experience with ClickUp, Asana, Monday, Wrike, or similar project management software.
• Proficiency with Google Workspace preferred.
  

• Experience estimating complex research or integrated marketing engagements.
• Diploma or Bachelor's Degree in Business, Marketing, Communications, Project Management, or a related field.
• Experience managing formal RFP submissions.
  

• Full-time, permanent opportunity reporting to the President of the company.
• Primarily remote role.
• Must have reliable high-speed internet and an appropriate remote work setup.
• The role will be in the English language and requires someone who is a native English speaker.
• Core office hours are 7:30 AM–4:30 PM MT.
• Team members must have at least 4 hours of overlap with True Insight's business hours.
• Compensation is competitive and based on experience in the range of $1, 200 - $1,700 CAD/month , plus bonus for those who become eligible based on our bonus program.
